Job Description

FUNERAL HOME ADMINISTRATIVE ASSISTANT
We are seeking a compassionate, organized, and professional Administrative Assistant to join our funeral home team. This position combines administrative excellence with heartfelt service, ensuring that every detail is handled with care, professionalism, and empathy. The ideal candidate will demonstrate empathy and professionalism and help create meaningful memorial experiences for families.
RESPONSIBILITIES
Greet families and visitors warmly, offering compassionate support and guidance throughout the funeral planning process. Manage scheduling of funeral services, viewings, and memorial events with precision and attention to detail Prepare and process funeral service documents, permits, death certificates, reports, Veteran's paperwork, etc. Assist with obituaries; gathering information, writing and submitting to newspapers, and websites. Paying close attention to detail, accuracy, editing and proofreading. Creates and designs printed and audio-visual materials needed for services such as; prayer cards, service folders, slide shows, etc. Responsible for using audio-visual equipment during services. Coordinate logistics for funeral services, including transportation, setup, and event planning to ensure seamless execution Performs daily office duties, such as, answering a multi-line phone system, responding to emails, scheduling appointments, operating a copier, scanner and fax machine, ordering supplies, using a debit card machine, and receiving incoming mail and packages. Maintains and organizes current electronic, paper files and records, such as deeds and trust files. Accommodates family needs during services and visitations. Maintains guest-waiting area and clean up after services, disposing of trash, replacing tissues and general straightening of furniture. Must be able to work beyond standard business hours, including evenings, weekends, and holidays, as needed. Assist with, record keeping, data entry and bookkeeping software like QuickBooks. QUALIFICATIONS
Previous funeral home, administrative or customer service experience preferred Excellent organizational skills to manage multiple schedules and administrative tasks efficiently Strong communication and interpersonal skills Ability to demonstrate attention to detail, editing and proofreading skills Ability to handle sensitive situations with discretion, compassion, and maintain confidentiality Able to use a computer and type, data entry, printing documents, proofreading Proficient in MS Office suite, Microsoft Word, QuickBooks and a willingness to learn other software is required Knowledge of funeral procedures, logistics coordination, or related certifications is a plus but not mandatory
SCHEDULE AND COMPENSATION
Part-Time up to 30 hours a week Some evenings or weekends may be required Professional Dress is required when in contact with families Hourly rate commensurate upon experience
PHYSICAL DEMANDS
Able to lift 50 pounds Physical effort requiring manual dexterity is required, including paperwork, calculators, computers, and phone usage
