Ready to lead a dynamic team in delivering exceptional client experiences? 4Ever Young, a premier anti-aging and wellness brand, is looking for a General Manager to oversee daily operations and drive excellence in customer service, sales, and team performance. We are seeking a dynamic and highly organized Office Manager to lead the administrative operations of a Medical Spa and Wellness Center. This pivotal role combines healthcare management expertise with exceptional sales leadership, ensuring seamless daily functions, outstanding patient experiences, and efficient practice operations. The ideal candidate will bring enthusiasm, strong membership sales skills, leadership, and a comprehensive understanding of medical office procedures to foster a welcoming environment where wellness and professionalism thrive. Duties Oversee all administrative functions within the medical spa, including scheduling, patient intake, and record management Know and emphasize the 4Ever Way for each and every client and have a stong understanding and belief in Membership sales Supervise front desk staff, medical administrative support personnel, and other team members to ensure high-quality service delivery Manage fiscal responsibilities such as budgeting, financial management, and billing processes using systems like Zenoti, and ADP. Ensure compliance with HIPAA regulations and maintain confidentiality of all medical records and patient information Coordinate with healthcare providers to facilitate clinic operations, including appointment scheduling and treatment documentation Oversee human resources functions such as staff recruitment, training, performance evaluations, and compliance with employment laws Maintain proficiency in EMR (Electronic Medical Records) systems and EHR (Electronic Health Records) systems to support accurate documentation and efficient workflow Monitor clinic supplies, equipment maintenance, and vendor relationships to ensure optimal operational readiness Support billing processes Proven experience in medical office management within a healthcare or wellness setting, preferably in a medical spa or similar environment Strong supervisory skills with the ability to lead diverse teams effectively Expertise in fiscal management including budgeting, financial reporting, and practice management software Knowledge of HIPAA regulations, medical terminology, medical records management, and EMR/EHR systems such as Epic or eClinicalWorks Excellent organizational skills with attention to detail in handling medical administrative support tasks Familiarity with healthcare management practices including clinic operations, nursing procedures Ability to navigate complex regulatory environments related to healthcare compliance standards like JCAHO or utilization management Effective communication skills for interacting with patients, staff, vendors, and healthcare providers Experience in human resources functions including staffing, training programs, and conflict resolution Join us in creating a vibrant environment dedicated to health and wellness!
