Job Description

Job Summary A well-established and growing medical spa in South Florida is seeking an experienced Operations Manager to help lead the practice through its next phase of growth. This individual will play a critical role in driving operational excellence, team performance, patient satisfaction, and business growth. Our practice has built a strong reputation for exceptional patient care and service excellence and is entering an exciting expansion phase. We are seeking a proactive leader who thrives in a fast-paced environment, enjoys building systems and processes, and can develop high-performing teams while maintaining a positive culture. Position Summary Reporting directly to ownership, the Operations Manager serves as the bridge between leadership's strategic vision and day-to-day execution. This individual will oversee practice operations, lead team accountability, improve operational performance, implement systems and processes, and help drive continued growth. Key Responsibilities Operations Leadership Oversee daily practice operations and workflow management Ensure operational consistency across all departments Identify and implement process improvements Monitor KPIs and operational performance Drive initiatives that improve efficiency and profitability Team Leadership & Accountability Lead, coach, and develop non-clinical team members Conduct team meetings and performance discussions Coordinate onboarding and ongoing training Establish and maintain performance standards Foster a culture of accountability, professionalism, and exceptional service Patient Experience Ensure an outstanding patient experience from initial inquiry through ongoing care Resolve patient concerns professionally and effectively Monitor patient satisfaction metrics Support patient retention and relationship-building initiatives Revenue & Growth Improve provider utilization and scheduling efficiency Support patient retention and patient reactivation initiatives Monitor operational drivers impacting revenue Assist with membership and recurring revenue programs Systems & Process Management Maintain operational compliance within scheduling, CRM, and practice management systems Ensure reporting accuracy and data integrity Develop and improve operational workflows Coordinate inventory and vendor management Qualifications Required Minimum three years of operations management experience in a medical spa, aesthetics practice, plastic surgery practice, dermatology practice, wellness clinic, or a similar patient-focused cash-pay environment Experience leading and developing teams Strong organizational, analytical, and problem-solving skills Experience managing KPIs and operational performance metrics Fluent in both English and Spanish Experience using scheduling, CRM, and practice management software Preferred Experience with Boulevard, GoHighLevel, or similar software platforms Experience implementing operational systems and process improvements Knowledge of patient retention strategies and service excellence What We're Looking For We're looking for a leader who: Takes ownership and follows through Builds accountability while maintaining a positive culture Communicates effectively with staff and leadership Enjoys improving systems and processes Thinks proactively and solves problems Thrives in a growing, fast-paced organization Success in This Role Within your first year, you'll help build a more efficient, accountable, and scalable operation by improving workflows, strengthening team performance, enhancing the patient experience, and supporting the continued growth of the practice.
