Bodhi Farms is a sustainable boutique eco resort destination just outside of Bozeman. In fact we are the only resort in Bozeman. Over the past 5 years we have built up the glamping and outdoor spa operations and we are now looking for a Hospitality & Spa Manager to take ownership over the day to day operations of this department to continue to grow it into a world class destination. Applicants should have a solid foundation in hotel or resort operations and a passion for providing guests a high level of service. Essential Job Functions. Reporting directly to the General Manager, the Hospitality & Spa Manager is responsible for managing all glamping and wellness related operations of the front desk. This position is a hands-on guest facing position requiring constant face to face interaction with guests, vendors, and other resort departments. Managing a small team of seasonal Guest Experience Agents as well as an Assistant Spa Manager, contract yoga instructors and masseuses using our established operations manuals and documented training. Shifts include weekends and holidays, defined by the anticipated volume needs. You must be present at the front desk as well as portray professionalism at all times. You must have the ability to maintain your composure during high-pressure situations resulting from business levels and time constraints. The Hospitality Manager's responsibilities include, but are not limited to, the following duties; Best In Class Customer Experience . Above all, you are responsible for ensuring that all customers are shown respect and that they receive exceptional service. Oversee and supervise the welcoming of overnight guests and wellness customers. Supervise performance of all team members and ensure achievement of all front office objectives according to quality standards. Monitor all activities of the front desk and ensure compliance to all policies and procedures to maintain exceptional quality of services. Anticipate and handle any guest requests and satisfy their needs within acceptable guidelines. Conduct frequent walks of the Sanctuary to evaluate its condition and to report any maintenance requests needed. Take responsibility for resolving all complaints in a timely manner, taking all appropriate actions to turn dissatisfied guests into return guests. Working with the Events Department to ensure all group accommodation/wellness activities are planned and executed well. Oversee all Farm Classes & Activities, their reservations and staffing. Rate & Occupancy Management. Increasing both the occupancy rates as well as the RevPar is one of the primary focuses of the Hospitality Manager. Monitoring our industry peers through our rate management tool, setting notifications accordingly. Adjusting rates to ensure higher occupancy rates and higher RevPar. Welcome Shack Management. The Welcome Shack, its appearance, cleanliness, and maintenance is the responsibility of the Hospitality Manager. Ensure that the building is always clean and organized and supported by daily opening and closing checklists. Request maintenance and repairs as needed. Maintain inventory of hospitality, cleaning and spa supplies, placing weekly orders. Answer phone inquiries, direct calls, texting and provide basic information. Respond to voicemails received immediately. Ensure a safe working and guest environment to reduce the risk of injury and accidents. Complete incident reports promptly in the event that a guest or employee is injured. Control cash and other receipts by adhering to cash handling procedures. Guest Arrival & Departure Experience Communicating with overnight guests prior to their arrival to arrange their activities, including wellness appointments, fishing lessons, farm classes, and dining. Welcoming guests per protocol, loading luggage into cart, providing the property map and overview orientation, escorting to tipi with tipi orientation. Checking guests in and out. Housekeeping Monitor work of all housekeeping responsibilities and ensure efficient maintenance of all rooms according to hotel standards. Ensure all treatment rooms are disinfected before the next reservation. Ensure all laundry is cleaned in a timely manner and stocked appropriately. Ensure all cleaning supplies are properly stocked. Responsible for creating a prioritized daily turnover schedule for glamping tipis. Daily cleans and turnovers include wiping down surfaces, changing linens and towels, and restocking coffee station so they are guest ready. Cleaning and stocking the common areas such as bathrooms, laundry room and Welcome Shack. Stay caught up on laundry throughout the day and fold clean linens. Communicating with your team to make sure all housekeeping needs are fulfilled and check completed tasks as necessary. Responds timely to guests' special requests for add ons such as cribs, cots, extra towels, etc. Property Management System & Apps . The Hospitality Manager will assume all responsibility for all reservations and accordingly the operating systems that power this department; :

Training Seasonal Staff. The Hospitality Manager will be responsible for onboarding and ongoing training to all of the hospitality team members to ensure best in class customer service. Share the training you have received with all new team members using our established documented processes. When necessary, address and document poor behavior or performance of your team, utilizing our Performance Improvement Process and if necessary ultimately the proper termination of employees in a respectful and compliant manner. Scheduling Seasonal Staff. The Hospitality Manager is responsible for ensuring that all needed staffing is appropriately scheduled. Effective scheduling of the Hospitality & Spa staff and supervising workload during shifts. Conduct pre-shift meetings with all team members and send out weekly notes, reminders or observations as necessary. Practitioner Scheduling. Keep the operations running smoothly by ensuring that the yoga and masseuse practitioners are scheduled for their time slots. Approve payroll hours and practitioner hour reports to the General Manager on a weekly basis. Finding coverage for yoga classes as needed and make sure each class has an instructor. Leadership . The Hospitality Manager will lead by example. Provide direction, coaching and leadership for all team members. Assigns areas of responsibility to staff, communicating expectations and following up on a regular basis during one on one conversations. Ensures dress code standards are 100% for all team members. Develop employees by providing ongoing feedback, establishing performance expectations and by conducting performance reviews. Skills Required Exceptionally strong Guest focus mentality, with the ability to provide an exceptional experience and Guest Experience for each guest. Exercise integrity in all areas of the Guest Experience operation. Exhibit strong written and verbal communication skills. Multi-task, prioritize and meet deadlines; provide timely follow up on open issues. Handle evening, weekend and holiday responsibilities. Take personal accountability in getting the job done. Function in a purposeful and professional manner in situations of uncertainty with the demonstrated ability to maintain focus on key priorities and goals. Effective problem solving and risk mitigation by offering solutions to address concerns. Physical Requirements. We are an outdoor business and this has its physical requirements. If you're looking for a desk job, you're in the wrong place. Withstanding temperatures of 0 degrees to 100 degrees Fahrenheit. Moving constantly for extended periods of time (up to 10-12 hours a day). Lifting and carrying items weighing up to 75 lbs. for distances of up to 25 ft. Qualifications Front desk experience in a luxury hotel environment. Bachelor's degree in hospitality is a plus, completed or in process. Excellent oral and written communication skills. Experience in managing with property management software / PMS system Experience with rate management for hospitality properties is a plus.
