  • 22/hr with a structured performance bonus program — top performers earn up to $10,000 in additional annual compensation.

ABOUT THE PRACTICE
We're not a typical med spa. Good Rest Med Spa is a veteran-owned wellness practice in Payson, Utah, built on the belief that rest is the foundation of radiance. We specialize in sleep medicine, TMJ treatment, NightLase laser therapy, injectables, hair restoration, medical esthetics, massage, and contrast therapy — and we take every one of our clients seriously. We're growing fast. Our team is tight-knit, mission-driven, and high-performing. We need a leader who can match that energy, hold the standard, and make sure everything behind the scenes runs as beautifully as the experience we deliver in the treatment room.
THE ROLE
More than managing. You're building something. The Office Manager at Good Rest is the connective tissue of this practice. You're not just keeping things running — you're driving growth, protecting the client experience, and making sure our owners can focus on clinical excellence and vision. You'll own the numbers, lead the team, represent the brand, and ensure that every system hums. This is a role for someone who can walk into a busy day, see exactly what needs to happen, make it happen within their hours, and leave the job at the door when they go home. No overtime mentality. RESPONSIBILITIES
What you'll own every day.
  • Drive daily and weekly schedule fill rates; proactively fill gaps through outbound calls, texts, and waitlist management
  • Manage all inbound client inquiries — respond quickly, convert to booked appointments, and track results
  • Ensure 100% point-of-service payment collection; zero deferred balances; zero day-sheet discrepancies
  • Lead membership and package presentations at every appropriate touchpoint
  • Oversee the daily Google Review request process and monitor reputation metrics
  • Coordinate social media content — capture photos/videos from daily operations for the marketing team
  • Resolve client complaints with empathy and authority — same-day resolution is the standard
  • Submit daily and weekly KPI reports; flag any issues to clinical director immediately
  • Hire, train, and hold staff accountable — uphold practice culture, SOPs, and client experience standards
  • Manage scheduling software (Boulevard), communications platforms, and vendor relationships
  • Maintain HIPAA compliance, documentation accuracy, and clinical support protocols
  • Anticipate operational needs; keep supplies stocked, systems functional, and the team informed
  • Represent the brand at community events and referral-building opportunities
  • Serve as the first and last line of defense for team morale, client satisfaction, and operational excellence
  • Lead monthly team meetings and quarterly spa trade days
  • Oversee and manage the Esthetic and Massage apprenticeships
  • Maintain a clean working environment (supervise laundry, cold plunge and sauna management, etc.)
  • Submit payroll on a bi-weekly basis

QUALIFICATIONS
What we're looking for on paper.
REQUIRED
✓ 2+ years experience in a medical, spa, dental, or healthcare office management role ✓ Proven track record managing scheduling, collections, and team performance ✓ Proficient with scheduling or practice management software (Boulevard experience a plus) ✓ Strong verbal and written communication skills ✓ Experience managing and developing a small team ✓ Comfortable with KPI tracking, daily reporting, and accountability systems ✓ HIPAA awareness and commitment to confidentiality
PREFERRED
✓ Background in wellness, aesthetics, or integrative medicine ✓ Experience with outbound sales or membership-based business models ✓ Familiarity with Google Business reputation management ✓ Social media content capture or coordination experience ✓ Multilingual communication skills (Spanish a plus) ✓ Event coordination or community outreach experience
