JOB SUMMARY
The Insurance and Billing Coordinator is responsible for managing insurance claims, patient billing, collections, and financial coordination while delivering exceptional patient services and maintaining HIPAA compliance. This role works closely with patients, insurance carriers, providers, and office leadership to ensure accurate billing, timely collections, and efficient revenue cycle management. The ideal candidate is detail oriented, organized, compassionate, able to work in a fast-paced environment, able to multitask and experienced in dental insurance processes and revenue cycle management.
ESSENTIAL DUTIES & RESPONSIBILITIES
  • Process and submit dental insurance claims accurately and in a timely manner
  • Review, interpret, and explain Explanation of Benefits (EOBs) to patients
  • Follow up on outstanding insurance claims, denials, and requests for additional information
  • Resolve insurance billing discrepancies and claim issues with minimal supervision
  • Maintain and monitor insurance aging reports to ensure timely reimbursement
  • Post insurance and patient payments accurately to accounts
  • Ensure electronic insurance deposits are balanced and reconciled with bank deposits
  • Prepare and send monthly patient billing statements according to office policy
  • Coordinate collection efforts, payment arrangements, and account follow-up procedures
  • Maintain accurate financial records across multiple office locations, if applicable
  • Present treatment plan, financial arrangements and insurance options to patients
  • Collect patient balances and insurance payments efficiently and professionally
  • Assist with maintaining daily cash flow and balancing deposits
  • Ensure integrity and accuracy of financial transactions and reporting
  • Communicate patient balances and estimated payments to scheduling and clinical teams
  • Provide exceptional patient service while handling sensitive financial discussions
  • Educate patients regarding insurance coverage, payment policies, and financial responsibilities
  • Communicate professionally and compassionately with patients during difficult financial situations
  • Document all financial discussions and account activity accurately in patient records
  • Support office policies regarding cancellations, collections, and payment procedures
  • Collaborate closely with doctors, office management, and team members regarding billing and insurance concerns
  • Maintain confidentiality and comply with all HIPAA regulations and office policies
  • Assist in training and coaching team members when needed
  • Adapt to changing priorities and assist with additional administrative duties as assigned
  • Maintain punctual, regular attendance and professionalism in all interactions
  • Perform other duties and tasks, as assigned

QUALIFICATIONS
  • Minimum 1-2 years of dental insurance, billing, or dental office experience preferred
  • Knowledge of dental insurance plans, claims processing, and insurance terminology
  • Experience with accounts receivable, collections, and payment posting
  • Familiarity with dental practice management software preferred
  • Strong mathematical, organizational, and problem-solving skills
  • Excellent communication and customer service abilities
  • Strong typing and computer proficiency
  • Ability to multitask and manage deadlines in a fast-paced environment
  • High attention to detail and financial accuracy
PHYSICAL AND WORK REQUIREMENTS
  • Ability to sit, type, and work at a computer for extended periods of time
  • Ability to communicate effectively in person and by the phone
