Intake Specialist Reports to:Director Status:

Wildlife Care Association (WCA) receives several thousand sick, injured, and orphaned wild animals each year. As the first point of contact for members of the public bringing wildlife to our facility, the Intake Specialist plays a critical role in ensuring every patient is admitted efficiently, compassionately, and accurately. This position requires excellent customer service skills, attention to detail, and the ability to remain calm and organized in a high-volume, fast-paced environment, especially during peak baby season. The Intake Specialist is responsible for welcoming members of the public, gathering patient history, safely admitting wildlife patients, transporting animals to the triage team, completing intake paperwork, processing donations, and maintaining accurate records in our online database. This role serves as a vital bridge between the public and our animal care team.Qualifications:
Required- Strong communication and interpersonal skills with the ability to interact professionally and compassionately with the public
- Ability to remain calm, organized, and efficient in a high-stress, fast-paced environment
- Excellent attention to detail and accuracy in data entry and paperwork
- Comfortable handling sensitive or emotional situations with empathy and professionalism
- Ability to multitask and prioritize effectively during periods of high patient volume
- Experience with computer programs such as Microsoft Office and willingness to learn Wildlife Rehabilitation MD (WRMD) database
- Ability to follow verbal and written directions
- Ability and willingness to work within the guidelines and protocols set by WCA
- Ability to work independently and collaboratively with staff and volunteers
- Be 18 years or older
- Able to stand for extended periods and lift up to 30 lbs as needed Desired (not required)
- Previous experience in customer service, front desk reception, or administrative support
- Experience working in animal care, veterinary, shelter, or wildlife rehabilitation settings
- Familiarity with local wildlife species
- Prior volunteer experience with
WCA Essential Duties and Responsibilities:
- Serve as the first point of contact for members of the public arriving at the facility
- Greet and assist wildlife finders with compassion and professionalism
- Admit incoming wildlife patients and gather detailed intake information
- Safely transport admitted patients to the triage team
- Complete and organize all intake paperwork accurately and efficiently
- Enter and update patient records in Wildlife Rehabilitation MD (WRMD)
- File and disposition patient paperwork within our online record system
- Process and acknowledge public donations, both monetary and in-kind
- Answer basic questions from the public regarding wildlife concerns and WCA services
- Coordinate communication between intake, medical staff, and animal care teams
- Maintain cleanliness and organization of intake and reception areas
- Assist with administrative tasks including scanning, filing, and supply organization
- Support volunteers and interns working in the intake department as needed
- Maintain confidentiality and professionalism in all interactions
- Thrive in a fast-paced environment during busy wildlife season, often managing multiple admissions simultaneously
