Position Summary The Intake Specialist plays a vital role in the daily operations of our healthcare practice . You'll be the organizational backbone of our office—supporting administrative functions, maintaining accurate medical records, handling insurance authorizations, and ensuring all communications reflect the professionalism and compassion our clients deserve. This is an entry-level healthcare administration role, ideal for candidates transitioning into medical office management or those with prior experience in healthcare settings. Key Responsibilities Manage daily office operations and maintain organized workflows in a healthcare environment Handle phone calls and client inquiries with professionalism and medical terminology awareness Support insurance authorization workflows by gathering accurate clinical and medical information for submission Perform accurate medical data entry and maintain HIPAA-compliant, up-to-date client records Support clinical and administrative tasks such as scheduling, coordination, and document management Use Google Suite (Docs, Sheets, Drive, Calendar) for communication and medical record-keeping Process patient intake forms and maintain organized patient files Required Qualifications Prior experience in a medical office, healthcare clinic, therapy practice, or related healthcare setting (required or very strong preference) Familiarity with insurance billing/authorization processes in healthcare Strong customer service skills with ability to interact professionally with patients/families Excellent phone etiquette and communication skills Comfortable handling sensitive medical information with professionalism and HIPAA confidentiality Reliable, adaptable, and eager to learn in a fast-paced, mission-driven healthcare environment Bilingual (English/Spanish)
  • Preferred Skills To Have Experience with EHR (Electronic Health Record) systems or medical practice management software Medical terminology
  • Familiarity with common medical/behavioral health terms Patient intake process
  • Experience completing intake forms and patient histories Prior authorization experience
