Job Description

JOB SUMMARY
IT Administration Intern This position reports to the Wilmington, MA office onsite at least three days per week (currently Tuesday-Thursday). This internship role supports the corporate IT team under the direct supervision of the IT Manager. The intern will gain hands-on experience assisting with the implementation, maintenance, and support of IT solutions for Heilind Electronics and all its global employees and affiliates. We are seeking a motivated intern to serve in a temporary role as the IT Administration Intern to assist our IT team with day-to-day operations. Under the guidance of experienced technical administrators, the intern will support a wide range of IT initiatives spanning cybersecurity, infrastructure, enterprise applications, and digital operations. This is an excellent opportunity to develop practical skills in IT operations, enterprise systems administration, AI-enabled productivity tools, and cybersecurity compliance in a global electronics distribution environment. Essential Duties and Responsibilities Support AI initiatives using Anthropic Claude and Microsoft Copilot AI to drive productivity and automate workflows. Assist with PC desktop rollouts, including imaging, configuration, and deployment to end users. Assist with server patching across Windows and Linux environments as part of scheduled maintenance cycles. Support the phone migration from Cisco Call Manager to Microsoft Teams, including testing and end-user transition assistance. Perform follow-up and support on customer calls to the IT Helpdesk, ensuring timely resolution and user satisfaction. Support IT Operations Management configuration in ServiceNow, including settings setup and workflow configuration. Compile information to support external and internal audit requests, including evidence gathering and documentation. Assist with remediating system vulnerabilities identified by Rapid7 security scans across servers and endpoints. Support the automation of repetitive tasks in the IT environment using scripting and available tooling. Assist with documenting Standard Operating Procedures (SOPs) across the IT landscape to support knowledge management and compliance. Assist with application regression testing and script automation, including Oracle recurring/regression test scripts using Selenium. Assist with CMMC Level 1 compliance activities for DB Roberts and Heilind, supporting gap remediation and evidence preparation. Perform reports on user inactivity in systems to support access governance and license management. Gather details to support Cyber Insurance applications, including control documentation and questionnaire responses. Support the activation and monitoring of server and infrastructure using Zabbix, and assist with deploying a Helpdesk alert monitoring display. Participate in vendor phone calls, taking notes and supporting follow-up actions. Use AI to automate and populate product descriptions in the Product Information Management (PIM) solution. Evaluate and remediate items identified in the IT Risk Register under the direction of IT leadership. Assist with setting up Public Key Infrastructure (PKI) certificates for Azure and IT infrastructure components. Troubleshoot IT requests and incidents with the support of vendors such as Microsoft, Dell, and others. Assist with asset tracking and IT budget updates, maintaining accurate records in asset management systems. Assist with tracking software deployment compliance across endpoints and sites. Assist with the cleanup of email transport rules to improve mail flow hygiene and security posture. Support the physical deployment and retirement of IT assets in data centers, network closets, and office areas. Assist with updating vendor contracts in the document repository to ensure current and accurate records. Support the retirement of AT&T Office at Hand and migration to Microsoft Teams at US sites. Assist with a global wireless SSID change to standardize networks across all Heilind and Heilind-Guest environments. Assist in securing the network closet at the Rhode Island office, including physical access controls and documentation. Support the implementation of an Emergency Notification System for office users covering site outages, active shooter alerts, and related scenarios. Assist in developing an IT Policy for travel to China and other sensitive locations, covering device security and data handling. Support Oracle Purchase Order Processing implementation, assisting with testing, documentation, and user support. Support end-user adoption of SharePoint and assist with the development of SharePoint sites for teams and departments. Education and Experience Currently enrolled in a Bachelor's degree program in Computer Science, Information Technology, Cybersecurity, or a related field (or equivalent experience). Basic familiarity with enterprise IT environments through coursework, labs, or prior internship experience is preferred. Exposure to cloud platforms (Microsoft Azure/M365), scripting, or IT security concepts is a plus. Skills and Requirements Foundational understanding of IT infrastructure, enterprise applications, and basic security concepts. Eagerness to learn across a broad range of technologies in a fast-paced, global environment. Basic proficiency in troubleshooting and a logical, methodical approach to problem-solving. Excellent communication and teamwork skills for cross-functional collaboration. Ability to work under direction, manage assigned tasks, and meet deadlines. Work schedule: 8am-5pm, Monday-Friday. Must be able to report to the Wilmington, MA office and work onsite during scheduled days (typically Tuesday-Thursday; remote Monday & Friday). Working knowledge of Microsoft Office products, Exchange, SharePoint/OneDrive, Windows Server, and Active Directory. Ability to solve problems and see projects through to completion. Team-oriented attitude to help colleagues and departments with technical problems. Ability to manage, track, and prioritize multiple projects and tasks simultaneously. Must be able to provide at least two professional or academic references. Ability to successfully pass a background check. To perform the position, you must be a U.S. Person as defined by
ITAR. ITAR

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
