The Role We're looking for an Inventory & Operations Coordinator to be the on-site operational backbone of our fulfillment process.

Your job:

get orders through production as fast as possible, surface problems before they become customer issues, and make sure every delivery hits its committed timeline. You'll work closely with our remote team who handle customer calls, parts ordering, BOL booking, and product listings. You're their eyes and hands on the ground — and the person accountable when something needs to move faster or escalate higher. This role also carries ongoing responsibility for improving the system, not just running it. What You'll Own Production throughput Monitor active orders daily in our Airtable Ops Command Center — know what's on track, at risk, and breached before anyone asks Surface bottlenecks in real time and coordinate with warehouse techs to remove them Own P1 response: when a delivery timeline is breached, you're the first responder — assess, act, communicate Ensure every order's items move through production in priority order — most urgent first, always Inbound intake Receive and log all inbound inventory — new BUILT Strength equipment, remanufactured machines, and parts orders — into Airtable against purchase orders Flag discrepancies and damage immediately; coordinate container unloads; assign bin locations on the racking system Manage used equipment pickups — coordinate scheduling, inspect at pickup, receive back into the system Parts & outbound coordination Pull on-site parts inventory for technicians and ensure incoming parts are matched to open requests and handed off promptly Work directly with the remote team on parts status and flag overdue holds blocking production Confirm outbound readiness — all items FQC complete, palletized, and staged before carrier arrival Customer communications oversight Oversee customer-facing communications executed by the remote team — ensure customers are reached on time and timelines are being managed Step in directly on escalations and P1 situations requiring on-site judgment Handle customer pickup appointments for used equipment on-site System improvement Keep Airtable data clean and current — the whole operation runs on accurate ground-truth data Identify bottlenecks and bring solutions, not just problems Use AI tools actively in your day-to-day work to move faster and surface issues earlier What We're Looking For Required 2+ years in operations, logistics, warehouse coordination, or fulfillment Experience receiving and logging inbound inventory Familiarity with LTL freight and carrier coordination Proactive, urgency-oriented, and comfortable owning outcomes without being managed AI-first mindset — you actively use AI tools at work and can speak to specific examples In-person, Georgetown TX Preferred Background in equipment, industrial, or high-SKU product distribution Experience working alongside a remote team Airtable, Shopify, or similar ops platform experience (all trainable — mindset matters more) Small company experience where the playbook wasn't written yet On AI We're an AI-forward operation. This role is expected to actively use AI tools to communicate faster, surface patterns, and improve the system over time. Compensation & Growth $56,000 - $65,000 annually based on experience. Starting in 2027, we plan to introduce a quarterly bonus tied to SLA performance — on-time delivery rates, order throughput, and production timeline adherence.
