Administrative Assistant -Advancement and Alumni Relations and Career Development General Summary :
This is a full-time, in-person, 4 days per week (32-hours per week), hourly position responsible for administrative support in both the Advancement and Alumni Relations office and in Career Development. While the position is primary four weekdays per week, typically 8:00 AM-4:30 PM, some weekend and evening availability is required.Primary Duties & Responsibilities :
Provide coaching and mentoring services to individual students. In collaboration with academic advisors, coach, advise, mentor students on the benefits of securing internships, employment experiences related to their major(s), or other educational experiences to build resume skills prior to graduation. Maintain strong relationships with potential employers and alumni. Promote connections and networking through programming and individual assistance. Maintain and improve systems and services designed to link students with post-graduation careers. Collect, analyze and report participation, satisfaction, learning and other outcomes as appropriate. Answer main phone line for Advancement and Alumni Relations and Career Development. Manage budget accounts, process invoices and expenses, and maintain budget files. Assist with events to include but not limited to: Booking locations on and off campus Ordering and securing supplies (such as flowers, balloons, plaques, etc.) Managing RSVP lists Creating events and standard emails Assist Major Gift Officers with travel arrangements to include but not limited to: Booking hotel rooms, flights, and rental cars Preparing prospect packets Preparing gift packages Serve as liaison with vendors and troubleshoot issues as they arrive Attend and record minutes for Board of Trustees committees and Alumni Association meetings when needed. Assist Vice President of Advancement and Alumni Relations by preparing campaign packets/reports to present at Board of Trustee meetings. Other duties as assigned.Education & Experience Qualifications :
Bachelor's Degree preferred. Excellent written, oral, and interpersonal communication skills. Ability to independently make reasoned decisions and judgments on sensitive and confidential issues. Ability to manage time effectively, learn, and contribute to overall departmental tasks and goals. Ability to work on multiple projects, services, activities, and deadlines in a timely and professional manner in a fast-paced and results-oriented environment. Ability to contribute to planning or organizing projects, programs, services, etc. Ability to use interpersonal skills to develop and maintain positive professional relationships and resolve conflict in a team environment and with individuals from various diverse backgrounds and experiences. Ability to analyze information and offer sound recommendations. Proficiency with Microsoft Word, Excel, and PowerPoint with a willingness to learn new software.Physical Requirements:
Extended periods of sitting. Must be able to occasionally lift up to 20 lbs. Able to operate a computer and standard office equipment to perform essential job functions.Other Information & Attributes:
