Job Description

Overview We're seeking a reliable and highly organized Landscape or Construction Office Assistant who can also provide light Personal Assistant support to company leadership. This role is ideal for someone who thrives in a fast-paced, hands-on environment and can juggle office responsibilities while helping keep day-to-day operations
  • and leadership schedules-running smoothly. Prior experience in a construction, contracting, trades, or landscape construction office is strongly preferred. Applicants with experience supporting construction companies, contractors, service companies, or field crews will be prioritized. Responsibilities Office Support
  • Answer phones, respond to emails, and greet clients or vendors
  • Maintain organized digital and physical filing systems (contracts, invoices, permits)
  • Assist with data entry, document preparation, and general administrative tasks.
  • Order office supplies and keep the workspace organized. Project & Operations Support
  • Help schedule jobs and coordinate calendars for project managers
  • Assist with preparing estimates, proposals, and job packets
  • Track project progress and update internal systems
  • Coordinate deliveries, subcontractor, and basic logistics Personal Assistant Duties
  • Manage calendars, appointments, and reminders for company owner or leadership.
  • Run occasional errands or handle time-sensitive tasks as needed.
  • Assist with prioritizing daily tasks and keeping leadership organized. Customer & Vendor Communication
  • Serve as a point of contact for client inquiries and follow-ups
  • Communicate with supplier regarding orders, deliveries, and availability
  • Maintain professional and friendly relationships with clients and partners. Basic Accounting Support
  • Assist with invoicing, tracking payments, and organizing receipts Requirements
  • 1-3 years of administrative or office assistance (preferable in a landscape office) experience
  • Strong organizational skills and attention to detail
  • Ability to multitask and adapt to changing priorities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Preferred Skills
  • Experience in construction, landscaping, or a similar industry
  • Familiarity with scheduling or project management tools
  • Basic bookkeeping or accounting knowledge
  • Ability to handle confidential information with discretion Work Environment
  • Primarily office-based with occasional off-site errands or visits
