GENERAL STATEMENT OF DUTIES
Under the direction of the Municipal Court Administrator and the Municipal Judge, this position performs municipal clerical work, the collection of fees related to traffic violations for the Township Municipal Court.
Responsibilities include:
Operating the court sound recording system Scheduling court cases Providing general administrative assistance as needed
EXAMPLES OF WORK PERFORMED
Data entry, Pedigree entry into ATS/ACS Maintain E-ticket entry report Shall moderate virtual court sessions via Microsoft TEAMS and ZOOM platforms as well as in person sessions Maintain log of court sessions Review and certify reports, applications and other documents for accuracy Prepare daily, weekly, and monthly reports Maintain retention list and shred documents in accordance with the records retention schedule Accept record requests and provide documentation in accordance with court rules and regulations Process violations bureau payments and prepare daily bank deposits Other miscellaneous functions unique to the Municipal Court Maintain log of court sessions Maintain E-Ticket entry report Maintain, classify, index, and cross-reference records and files. Review, check and certify reports and other documents for accuracy Handle a large volume of inquiries and requests received by phone and in person Issue FTA (failure to appear) notices, warrants, and suspension notices Handle special requests for information in accordance with prescribed rules and regulations Remove summonses from the retention list and shred Run daily and weekly reports Process payments, reconcile cash drawer and prepare bank deposits Additional duties as assigned
KNOWLEDGE SKILLS AND ABILITIES
Sound personal skills to handle correspondence from the public, attorneys' offices, and other state agencies via telephone, email, fax, and in person Knowledge of general office method, practices and procedures Proficient with Microsoft office 365, Microsoft TEAMS and ZOOM platforms Knowledge of record keeping and ability to maintain essential records and files Ability to organize work and develop effective work methods Ability to multitask Strong understanding of the need for confidentiality Ability to add, subtract, multiple and divide decimals Ability to maintain effective working relationships with both the public and fellow employees Exceptional telephone communication skills Ability to communicate effectively with the general public Ability to multi task Ability to understand and process legal documents Ability to organize work and develop effective work methods Ability to maintain confidentiality Ability to maintain effective working relationships with the general public and fellow employees. Experience with MACS, and PageCenter
QUALIFICATIONS
High school degree or approved HS equivalency certification Two years of experience in clerical work and maintaining records Experience with ATS/ACS preferred Conversational Spanish a plus Will be required to learn and utilize various types of electronic and/or manual recording and information systems used by the court.
HOURS OF WORK
Up to 35 hours per week, general office hours are Monday through Friday between the hours of 9:00 AM and 5:00 PM. Occasional night trial after 5:00pm will be required. Part-time hours may be considered, depending on availability. Must be available on Wednesdays for Municipal Court sessions.
Pay:
$20.00 - $24.00 per hour Application Question(s): This position will only be needed until November. Are you okay with the temporary nature of this positon? Are you available Monday through Friday from 9 AM - 5 PM? Are you willing to potentially stay as late as 10 PM for Court on Wednesdays?
