Job Description

The SSS IV provides intermediate administrative support and clerical duties to the Pretrial Services Unit under Adult Probation. Receptionist or back up receptionist duties (answer phones, direct calls, greet visitiors, handle correspondence, etc.) Clerical duties (fax, copy, print, scan, etc.) Filing (pull files, re-file, maintian records). Data entry (e.g., trial lists, court orders, and expungement cases, etc.). Check in clients placed on bail under Pretrial supervision as directed by the court via phone, in person, email, fax or text. Run noncompliance reports and contact clients that are not in compliance with their court ordered bail conidtions, as needed. Verify and enter essential data into the Pretrial unit's court management system. Serve as a back-up to Process new cases and 72 hour bench warrant files. Serve as back-up to the SSSIV Interviewers to gather bail application information by phone, in person or at Chester County prison. Track court ordered treatment conditions and verify completion of treatment evaluations, discharge paperwork from treatment facilities and document accordingly, as needed. Track Drug & Alcohol testing compliance by monitoring a testing software and detail results into the Pretrial unit's court management system, as requited. Process sentencing sheets and close files, as needed. Enter legal documents to include court orders, bench warrants, bail bonds and other correspondence into the unit's court management system on a daily basis. Sort and distribute mail daily Handle requests for information from defendants and/or family members and document accordingly. Maintain open and closed case files Monitor the Pretrial unit's office email account Serve as backup to expedite bail postings Perform other duties, tasks and special projects, as required. High School Diploma or General Education Degree (GED), one year of general office experience, or any combination of education, training, and experience. Ability to take and transcribe dictation. Ability to use office machines (e.g., fax, copier, calculator, paper shredder, scanning machines, etc.). Accurate and detail oriented with strong verbal and written communication kills. Excellent organizational and time management skills. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to work independently and as part of a team and proceed with objectives Good interpersonal and customer service skills. Ability to establish priorities and carry tasks to completion. Ability to follow office protocols to resolve recurring problems. Ability to use common sense understanding to carry out written or verbal instructions. Ability to interface effectively with all levels of county management. Flexible, with an ability to carry multiple tasks and projects to completion Exhibits a strong work ethic and a willingness to learn new tasks. Professionalism, integrity, and honesty with an ability to handle confidential matters.
Preferred Skills, Knowledge & Experience:
Associate's degree from an accredited college or university with courses in office administration. Two or more years of job-related experience. Excellent ability to establish priorities, work independently, and proceed with objectives without supervision. Legal background with working knowledge of adult probation law. Strong knowledge of Chester County policies and procedures. Relevant background checks, clearances, physicals, drug tests, and any other assessments or evaluations will be conducted after an offer of employment is given per County policy.
Computer Skills:
To perform this job successfully, an individual should have: Intermediate Office Suite Skills, (Word, Excel, Access, PowerPoint, and Explorer) Intermediate OutLook skills (Email and Calendar) Basic to Intermediate PeopleSoft skills (Financial and/or HR) or the ability to learn PeopleSoft Strong typing skills (minimum of 50 wpm). Knowledge of PACWIS (statewide computerized client tracking system) preferred but not required. Court system software skills
Physical Demands:
While performing the duties of this position, the employee is frequently required to walk, sit, and talk or hear. Occasionally, the employee will need to stand; reach above shoulders; bend at the waist or work bent at the waist; kneel, stoop, crouch or squat; and taste or smell. On rare occasions, the employee will need to lift or carry items. The specific vision requirement listed for this position is close distance vision.
Work Environment:
The noise level in the work environment is usually quiet to moderate. You will work inside 100% of the time.
Other:
Must be able to remain courteous and maintain composure under stressful situations. Ability to deal with all types of personalities. Ability to work extended hours, as required.
