The Records Management Specialist will support the firm's records and information management functions, including maintaining physical and electronic files, coordinating off-site storage and purge projects, document scanning and production, and providing administrative and office support. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality and accuracy. Key Responsibilities Maintain, organize, and manage physical and electronic client files, including filing and indexing for Estate Planning, Trust Administration, Probate, and Conservatorship matters. Coordinate off-site storage, file retrieval, and records destruction/purge projects in accordance with firm policies. Perform document scanning, electronic filing, document production, and large-volume copying/printing requests. Assist with conforming documents and preparing files for electronic storage while maintaining confidentiality of firm and client records. Support firm mailings, administrative tasks, and special projects while prioritizing assignments to meet deadlines. Provide general office, conference room, hospitality, and guest services support, including maintaining organized common areas and office supplies. Required Qualifications Prior experience in records management, legal support, office administration, or a related role preferred, ideally within a law firm or professional services environment. Strong organizational, communication, and time management skills with the ability to handle confidential information professionally. Proficiency with Microsoft Office Suite and electronic document management systems. Familiarity with legal records, filing systems, and records retention/destruction procedures preferred. Experience supporting Estate Planning, Probate, Conservatorship, or Trust Administration practices is a plus. Ability to lift and transport file boxes and office materials and work independently and collaboratively in a fast-paced environment.
Pay:
$24.00 - $28.00 per hour
