Job Description

Position Summary Young Management & Consulting (YMC) is seeking a highly organized and detail-oriented Document Control Administrator to support engineering, design, and construction programs. This position is responsible for managing, tracking, distributing, and maintaining project documentation throughout the project lifecycle while ensuring compliance with established document control procedures, quality standards, and confidentiality requirements. Reporting to project leadership and client management teams, the Document Control Administrator will serve as the primary coordinator for document management activities, supporting design reviews, construction document workflows, and project record retention. The ideal candidate will possess strong organizational skills, experience working within engineering and construction environments, and proficiency with document management systems such as Trimble e-Builder, SharePoint, and Microsoft Office. Key ResponsibilitiesDocument Control & Records Management Manage, organize, and maintain all incoming and outgoing project documentation, including engineering drawings, specifications, reports, correspondence, permits, contracts, and construction records. Ensure proper document classification, version control, revision tracking, and secure storage of project records. Maintain document control procedures that support project compliance, audit readiness, and records retention requirements. Process, distribute, archive, and retrieve project documentation in accordance with established standards and procedures. Safeguard confidential, proprietary, and privileged project information while ensuring appropriate stakeholder access. Project Documentation Coordination Serve as the lead coordinator for document control activities across assigned projects and programs. Receive, track, log, distribute, and monitor engineering and construction documents throughout the review and approval process. Coordinate document reviews among engineering, construction, environmental, permitting, and other technical disciplines. Monitor document review schedules and ensure timely completion of review cycles and approvals. Facilitate communication between project teams regarding document status, outstanding comments, and required actions. Systems Administration & Technical Support Utilize Trimble (e-Builder), SharePoint, and other document management platforms to manage project documentation and workflows. Upload, maintain, and organize construction drawings, review comments, memoranda, transmittals, and supporting project records. Maintain project databases and tracking logs for all incoming and outgoing documentation. Support implementation and continuous improvement of document management processes and workflows. Assist project teams with document retrieval, system navigation, and document control best practices. Reporting & Project Support Generate routine and ad hoc reports summarizing document status, review progress, pending actions, and project metrics. Track Technical Assistance Applications (TAAs), engineering submissions, review schedules, and associated documentation. Prepare status reports and management summaries for project leadership and client stakeholders. Support project meetings by providing documentation updates, tracking action items, and maintaining meeting records. Assist with project closeout activities, ensuring all records are complete, organized, and transferred in accordance with client requirements. Quality Assurance & Compliance Ensure documentation complies with project procedures, contractual requirements, regulatory standards, and client expectations. Perform quality checks to verify document accuracy, completeness, and proper revision control. Support audits, inspections, and records management reviews. Maintain strict adherence to confidentiality, information security, and document retention policies. Required Qualifications Associate's Degree or Bachelor's Degree in Business Administration, Engineering Technology, Construction Management, Information Management, or a related field preferred. Minimum of five (5) years of experience in document control, records management, project coordination, scheduling, or administrative support within engineering, architectural, utility, infrastructure, or construction environments. Demonstrated experience managing engineering drawings, technical documents, construction records, and confidential project information. Experience serving as a lead coordinator or task leader for document management activities. Strong understanding of document control procedures, records retention practices, and revision control methodologies. Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Experience with document management platforms such as Trimble e-Builder, SharePoint, Bluebeam, Procore, or similar systems. Excellent organizational, analytical, and problem-solving skills. Strong verbal and written communication skills. Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment. Ability to work independently with minimal supervision while maintaining a high level of accuracy and professionalism. Preferred Qualifications Experience supporting utility, transportation, public infrastructure, engineering, or capital construction programs. Familiarity with engineering design review processes and construction project lifecycles. Experience tracking project schedules, review cycles, and workflow milestones. Knowledge of records management standards and document control best practices. Experience supporting technical review programs involving multiple engineering disciplines.
