Job Description

Job Summary The Document Controller is responsible for managing, maintaining, and controlling all company documentation related to manufacturing operations, food safety, quality systems, regulatory compliance, and standard operating procedures (SOPs). This role ensures that all controlled documents are accurate, current, properly approved, distributed, and archived in accordance with company policies and applicable regulatory requirements.
Essential Job Functions :
Document Management
  • Maintain and control all quality, food safety, production, maintenance, and regulatory documents.
  • Ensure documents are reviewed, approved, issued, and revised according to established document control procedures.
  • Maintain a master document register and revision history.
  • Archive obsolete documents and ensure only current versions are available for use.
  • Distribute controlled documents to relevant departments and employees. Compliance and Regulatory Support
  • Support compliance with FDA, USDA, state regulatory requirements, and food safety standards.
  • Assist in maintaining documentation required for audits, inspections, and certifications.
  • Ensure records are retained according to company retention schedules and regulatory requirements.
  • Monitor document control practices to ensure compliance with company policies. Quality Management System Support
  • Maintain SOPs, work instructions, forms, policies, HACCP documentation, preventive controls, and quality manuals.
  • Assist departments with document creation, formatting, and revision control.
  • Track document review schedules and coordinate periodic reviews with department managers.
  • Maintain training records related to document revisions and employee acknowledgments. Audit Support
  • Prepare and retrieve documentation for internal, customer, and regulatory audits.
  • Assist with corrective action documentation and record retention.
  • Support audit readiness by ensuring documentation is complete, accurate, and readily accessible. Record Management
  • Organize and maintain electronic and hard-copy filing systems.
  • Ensure production, sanitation, maintenance, quality, and laboratory records are properly filed and stored.
  • Facilitate document retrieval requests from management and auditors.
  • Ensure confidentiality and security of sensitive company records. Physical Requirements
  • Ability to sit, stand, and walk for extended periods.
  • Ability to occasionally lift up to 50 pounds.
  • Ability to work in both office and manufacturing environments. Working Conditions
  • Office environment with regular interaction with manufacturing personnel.
  • Occasional exposure to production areas, including refrigerated and processing environments.
  • Compliance with all company safety, sanitation, and food safety requirements. Minimum Required Qualifications
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Minimum 2 years of document control, quality assurance, or administrative experience in a manufacturing environment.
  • Experience in food manufacturing, dairy processing, or a regulated industry preferred.
  • Knowledge of document control systems and quality management systems.
  • Proficiency in Microsoft Office Suite and electronic document management systems. Strong organizational and recordkeeping skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills.
  • Understanding of document revision control processes.
  • Ability to maintain confidentiality of company information.
  • Familiarity with HACCP, GMPs, SQF, or other food safety standards is preferred
Pay:
$28.00 - $30.00 per hour
