Job description: About the Company & Project We are currently seeking a dedicated and accomplished Senior Document Controller for the Hudson Tunnel Project (HTP). This is a once in a lifetime opportunity to contribute to this landmark project that is poised to deliver transformative impacts across economic, transportation, and environmental sustainability. The busiest rail connection between New York, New Jersey, and the Northeast Corridor, the Hudson Tunnel Project will improve capacity, reliability, and resiliency of commuter and intercity rail transit serving 800,000 daily passengers from Washington, D.C. to New York and New England. This is a milestone project that is slated to receive nearly $12 billion in federal funding, the largest investment in a mass transit project in modern history. As the SeniorDocument Controlleryou will play a pivotal role in the delivery of this significant project. Responsibilities Manage, organize, and maintain all project documentation to ensure it aligns with established standards and procedures. Utilize PMIS platformsincluding Point, eBuilder, PM Web, Oracle, and Kahuato categorize, store, and track documents with accuracy and easy accessibility. Work closely with internal teams and external partners to coordinate document submissions, reviews, and approvals, ensuring the review cycle is completed within a targeted 10day window. Monitor all documents currently under review, proactively following up on outstanding items to ensure timely responses and continuity of project progress. Apply strict version control measures to guarantee that all files reflect the latest revisions, are error-free, and meet project-specific requirements. Perform routine audits and quality checks to confirm document completeness, consistency, and compliance with regulatory expectations and project guidelines. Oversee document workflows within PMIS applications, identify and address system-related issues, and ensure project personnel are fully capable of working within the required software tools. Deliver ongoing training, guidance, and support to team members on document control processes, best practices, and system functionality. Prepare and distribute periodic document control reports, including updates on review statuses, pending actions, and overall document activity. Maintain strong, transparent communication with project teams and provide proactive assistance to ensure documentation deadlines are achieved within demanding project schedules.
Qualifications:
Qualifications A minimum of7 years of experience in Document Control and Information Management across large-scale infrastructure projects, including expertise in information architecture and data governance. Proven track record supporting mega projects or programs, with deep understanding of complex document workflows and compliance requirements. Demonstrated ability to establish and lead document control systems, including naming conventions, numbering protocols, and structured filing methodologies. Exceptional written and verbal communication skills, with the ability to collaborate effectively across multidisciplinary teams, clients, and stakeholders. Advanced proficiency in Microsoft Office Suite, PMIS tools (Point, eBuilder, PM Web, Oracle, Kahua) and Windows-based software. Strong organizational and analytical skills, with a focus on accuracy, version control, and audit readiness in high-volume document environments. The estimated starting salary for this position is $90,000 - $125,000. Starting salary may vary based on permissible, non-discriminatory factors such as experience, skills and qualifications.
