Pay Range:
$20 to $25 an hour

Fully Remote for the candidates in Lake County, IL or Irvine, CA (Must be local and available for occasional onsite visits)
Contract Duration:
24 Months Contract (Possible Extension- based on performance and business needs)
Job Summary:
We are seeking a highly organized Documentation Specialist to support document processing activities within a regulated environment. This individual will be responsible for managing documentation requests from initiation through approval while ensuring compliance with quality and regulatory requirements. The ideal candidate is a self starter who can work independently, manage multiple priorities, and communicate effectively with cross functional stakeholders. This role offers the opportunity to contribute to workflow improvements and support documentation lifecycle management across a large enterprise environment. Candidates must be detail oriented and capable of maintaining accuracy in a fast paced setting.
Key Responsibilities:
Process documentation requests through the document management system from receipt to final approval. Review documentation for completeness and compliance with established procedures. Monitor document workflows and ensure deadlines and timelines are achieved. Maintain records, archives, and retention schedules in accordance with regulatory requirements. Support document control and records management activities. Coordinate with stakeholders across multiple departments to resolve documentation issues. Assist with purchasing activities, equipment tracking, and follow up as required. Identify opportunities for workflow improvements and process efficiencies. Support compliance requirements related to regulated documentation practices. Manage changing priorities while maintaining a high level of accuracy and quality.
Required Qualifications:
High school diploma or equivalent and or relevant professional experience. Experience working with document management systems. Strong organizational skills and exceptional attention to detail. Excellent verbal and written communication skills. Ability to work independently with minimal supervision. Proficiency with MS Office applications. Experience managing multiple priorities and meeting deadlines.
Preferred Qualifications:
Experience with DocXTool. Experience with OneVault. Experience with PowerApps. Knowledge of GxP, GMP, or GLP environments. Experience implementing workflow improvement initiatives. Exposure to AI and machine learning tools for process optimization. Ability to support teams across multiple time zones.
