Job Description

Principal Document Controls Specialist Location:
Charlotte, NC (Hybrid - 3 days onsite per week) Overview We are seeking an experienced Principal Document Controls Specialist to support large-scale infrastructure and capital projects. This role is responsible for leading project information management, document control processes, deliverable management, and records quality throughout the project lifecycle. The ideal candidate brings deep expertise in document controls within construction, engineering, utilities, energy, industrial, or large facility environments and understands the critical role accurate project documentation plays in project execution, compliance, and asset lifecycle management. This position serves as a subject matter expert and trusted partner to project managers, engineering teams, construction teams, and external stakeholders to ensure project documentation is complete, accurate, traceable, and compliant with established standards. Key Responsibilities Lead the development, implementation, and execution of project document control and deliverable management processes. Establish and maintain document control standards, workflows, and quality requirements across project teams. Manage engineering, construction, and project documentation throughout the project lifecycle. Ensure the collection, validation, organization, and maintenance of project records and deliverables. Review project documentation for completeness, accuracy, traceability, and compliance with project requirements. Track and resolve documentation deficiencies while collaborating with project stakeholders to maintain schedules and quality objectives. Support project governance processes, milestone reviews, stage-gate requirements, and turnover activities. Monitor and report key deliverable metrics including timeliness, quality, and rework trends. Facilitate project closeout activities and ensure documentation is complete and ready for turnover to asset owners and operational teams. Provide mentorship and guidance to junior document control and project information management professionals. Required Qualifications Significant experience in formal document control and project information management. Experience supporting construction, engineering, infrastructure, utility, energy, industrial, healthcare, or large facility projects.
Strong understanding of:
Engineering drawings Construction documentation As-built drawings IFC (Issued for Construction) packages Redlines and markups Drawing revision cycles RFIs Submittals Transmittals Drawing registers Project closeout documentation Experience managing project records in regulated or highly structured environments. Strong analytical and organizational skills with exceptional attention to detail. Ability to work cross-functionally with project managers, engineers, contractors, and stakeholders. Preferred Qualifications Experience supporting utilities, natural gas, power generation, substations, transmission, industrial facilities, healthcare facilities, or other large infrastructure environments. Experience with testing documentation, inspection records, material records, turnover packages, and asset documentation. Experience leading document control functions on large capital projects. Technical Skills Experience with one or more of the following: Electronic Document Management Systems (EDMS) Procore SharePoint EcoSys ProjectWise Meridian OpenText Microsoft Excel Work Environment Hybrid schedule with onsite presence required three days per week. Primarily office-based environment with occasional site visits. Limited travel may be required to support project activities. PPE may be required during site visits. What We're Looking For This is not a document administration or records clerk position. We are seeking a true document controls professional who understands the full lifecycle of project documentation and can independently lead document control efforts in a fast-paced project environment. The successful candidate will be a proactive partner to project teams and a key contributor to project execution and delivery.
