We serve healthcare organizations, educational institutions, legal firms, nonprofits, and businesses throughout Texas and surrounding states. Our services include document preparation, scanning, OCR processing, indexing, quality control, secure digital delivery, records storage, and certified document destruction. Position Summary DigiScan is seeking a highly organized and detail-oriented Document Scanning Operations Lead to oversee daily production activities and ensure scanning projects are completed accurately, efficiently, and on schedule. This role will supervise scanning technicians, coordinate project workflows, perform quality assurance reviews, and serve as the primary point of contact between operations and management. The ideal candidate has experience managing document conversion projects, records management, imaging operations, or production teams and is comfortable working in a fast-paced environment with confidential records. Key ResponsibilitiesOperations Management Lead daily document scanning and records conversion operations. Coordinate project schedules and production priorities. Assign work to scanning technicians and monitor productivity. Track project progress and ensure deadlines are met. Identify workflow improvements to increase efficiency and accuracy. Quality Control Review scanned images for quality, completeness, and readability. Verify OCR processing and indexing accuracy. Ensure all files meet client specifications and DigiScan standards. Conduct final quality assurance reviews before file delivery. Team Leadership Supervise and train document preparation and scanning staff. Provide coaching and performance feedback. Assist with hiring, onboarding, and training new employees. Maintain a positive and productive work environment. Client & Project Coordination Communicate project updates to management. Assist with customer requests and project status reporting. Coordinate record pickups, deliveries, and digital file transfers. Support project planning and resource allocation. Security & Compliance Maintain strict confidentiality of client records. Follow HIPAA, privacy, and information security procedures. Ensure chain-of-custody documentation is maintained. Adhere to company policies regarding records handling and destruction. Qualifications High school diploma required; associate or bachelor's degree preferred. 3+ years of supervisory, operations, or project management experience. Experience in document scanning, records management, healthcare records, imaging services, or related industries preferred. Strong organizational and time management skills. Excellent communication and leadership abilities. Proficiency with Microsoft Office, PDF software, and scanning technologies. Ability to lift banker boxes weighing up to 35 pounds. Valid driver's license and reliable transportation preferred. Preferred Experience Document imaging and OCR software. Records management systems. HIPAA compliance and healthcare records.
