Job Description

Job Summary We are seeking a detail-oriented and highly organized Document Controller to oversee and maintain document management processes across multiple programs and projects. In this role, you will ensure all program and project documentation is accurate, organized, and traceable throughout the document's lifecycle, while maintaining effective document management systems, supporting regulatory compliance, and providing guidance and training to personnel on document management processes and responsibilities. This position offers an opportunity to play a key role in supporting compliance, standardization, and continuous improvement across the organization. Responsibilities General
  • Responsible for maintaining formal and consistent document management systems across multiple projects / assets to satisfy all statutory, regulatory, and client contractual requirements.
  • Responsible for maintaining formal and consistent document management for overall governing business policies, procedures, forms, etc.
  • Ensure the accuracy, traceability, and accessibility of files throughout their entire lifecycle - from creation and version control to secure storage, retrieval, and final archiving.
  • Classify, number, and store both physical and digital documents according to established company policies and industry standards.
  • Efficiently identify, track, store, and retrieve all current and historical project documentation within document management systems.
  • Manage the intake, logging, and distribution of incoming and outgoing project documents to the correct team members, subcontractors, or clients.
  • Responsible for creating, maintaining, and updating project templates and distributing as needed, as well as facilitating the use of these templates among personnel. Compliance & Audit-Readiness
  • Partner with Wells and Regulatory teams to develop, review, and submit APM and RPM (application / revised permits to modify) documentation to agencies for approval.
  • Maintain transparent, audit-ready records to ensure operations comply with legal requirements and standards. Training
  • Provide training and support to ensure all individuals are aware of their roles and responsibilities re: document management and systems. Systems Access
  • SharePoint Administrator - Create, manage, configure, and secure the organization's SharePoint environments (project and program). Manage user access and site-level permissions, ensuring data remains secure, monitor site storage and usage, and provide technical support.
  • DocuSign Administrator - Add and manage users, manage permission profiles, and provide technical support. Digitization Initiative
  • Oversee the scanning / digitization initiative of archival data (600+ boxes of offshore archival documentation) by working with third-party company Energective. Emergency Response
  • Participate in regularly scheduled emergency response drills / courses and fill various roles as needed (i.e. Documentation Unit Leader, Planning Section Chief, etc.).
  • Jetty Administrator - Work with The Response Group to ready the company's Jetty site in preparation of an incident and manage the site during (site control, inquiry management, documentation drafting and approvals, internal messaging, situation status, etc.). Skills
  • Proficiency in the Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook)
  • Experience in using initiative and being able to work with minimal supervision
  • Ability to closely collaborate with various departments including: IT Regulatory Wells Supply Chain Management Executive Team
  • Strong written and verbal communication skills

Pay:
$55,000.00 - $65,000.00 per year
