Position Overview The Document Specialist is responsible for managing, organizing, and maintaining critical project documentation across multiple infrastructure projects. This role ensures document accuracy, version control, compliance with regulatory standards, and efficient information flow between internal teams and external stakeholders. Key Responsibilities Document Control & Management Maintain and organize project documents including drawings, specifications, contracts, and reports Ensure proper version control, naming conventions, and document lifecycle tracking Archive and retrieve documents in accordance with company and regulatory standards Quality & Compliance Review documents for accuracy, completeness, and formatting consistency Ensure compliance with internal standards and industry regulations (e.g., ISO, DOT, or similar) Support audits by providing accurate and up-to-date documentation Collaboration & Coordination Act as a liaison between project managers, engineers, contractors, and stakeholders Distribute documents and updates in a timely and controlled manner Track document approvals, revisions, and workflows Systems & Tools Manage document control systems (e.g., SharePoint, Asana or similar platforms) Upload, index, and maintain digital records within project databases Generate reports on document status, revisions, and compliance metrics Process Improvement Identify opportunities to improve document workflows and efficiency Develop and maintain document control procedures and templates Qualifications Required Associate's or Bachelor's degree in Business Administration, Engineering, Information Management, or related field 2+ years of experience in document control, preferably in infrastructure, construction, or engineering environments Strong understanding of document control processes and versioning systems Proficiency in Microsoft Office Suite and document management platforms Preferred Experience with industry tools (e.g., Procore, Aconex, Autodesk Construction Cloud) Familiarity with infrastructure project documentation standards Knowledge of regulatory compliance requirements Skills & Competencies Exceptional attention to detail and organizational skills Strong communication and coordination abilities Ability to manage multiple projects and deadlines simultaneously Analytical mindset with problem-solving capabilities High level of integrity and data accuracy
