Job Description

The Document Control Specialist is responsible for maintaining consistent document organization, accessibility, and version control across the enterprise. This role supports Business Administration and cross-functional teams by ensuring critical documentation is accurate, structured, and easily accessible. This position helps improve operational efficiency by reducing duplication, improving access to information, and ensuring consistency across document management practices.
Key Responsibilities:
Document Management & Organization Maintain centralized document repositories (SharePoint, Teams, etc.) Ensure documents are properly organized, categorized, and accessible Support ongoing upkeep and structure of enterprise documentation Version Control & Standards Establish and maintain naming conventions and version control practices Ensure teams are working from current and accurate documentation Reduce duplication and outdated file usage Cross-Functional Support Partner with Legal, Finance, Operations, and other teams on document needs Support document workflows including approvals, updates, and archiving Assist with preparation and organization of documentation for projects and initiatives Process Improvement Identify inefficiencies in document handling and recommend improvements Support standardization of document processes across entities Contribute to development of document management best practices All other duties assigned.
Required Skills and Attributes:
Strong communication and collaboration skills Strong attention to detail and organizational skills Ability to manage multiple priorities and maintain accuracy
Qualifications:
2-4 years of experience in document control, administration, or operations support Experience with SharePoint, Teams, or document management systems
Physical Requirements:
This position may require the ability to perform tasks that involve sitting, standing, walking, lifting 25+ lbs, computer work and other physical activities. Candidates should be able to meet these physical demands with or without reasonable accommodation.
