This role supports internal teams and subcontractors by ensuring agreements, certificates, and records are accurate, compliant, and easily accessible. The ideal candidate is detail‑driven, highly organized, and comfortable coordinating multiple document workflows simultaneously. Duties Upload agreements to Docusign, verify attributes, and document items of importance, and ensure that all documents are filed in accordance with company procedures. Ensure all documents are correctly completed and fully executed by the relevant parties. Manage multiple emails in addition to individual email. Maintain Smartsheet and communications for prequalification and requalification of subcontractors. Prepare, review, and fill in Master Subcontract Agreements for subcontractors, making sure all necessary details are included, accurate, and ready for execution. Review COIs from subcontractors, ensure that all necessary information is present, matches the requested project limits, and track expiration dates. Proactively track and request updated certificates when they are nearing expiration and ensure compliance with company standards. Create COI packets for Purchase Orders. Maintain a structured filing system for physical and electronic documents. Regularly update and organize files for easy access by internal teams, ensuring that all documents are filed correctly and comply with industry regulations and company policies. Assist with modifications to subcontracts. Work closely with pre-construction, project managers, and subcontractors to ensure timely and accurate document submissions. Address any discrepancies or issues with documentation in a professional and prompt manner. Assist in audits by providing requested documentation, ensuring that all required paperwork is up to date and compliant with company standards and regulatory requirements. Qualifications High school diploma or equivalent required. Associate's degree or higher in Business Administration, Management, or a related field preferred. 2-3 years of experience in document control, administrative support, or a related role, preferably in construction, legal, or contract management environments. Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and document management software (e.g., Docusign). Familiarity with certificate tracking and contract preparation is a plus. Excellent written and verbal communication skills, with the ability to work collaboratively with various stakeholders.
