POSITION SUMMARY
The Documentation Specialist plays a pivotal role in managing the company's asset records to ensure data integrity, accuracy, and efficiency of locating information. Those in the level I role will receive and verify documents submitted, updating and maintaining project tracking sheets and SAP status. Those in the level II role will primarily perform duties from the field, collecting and gathering documentation from projects and ensuring regulatory requirements are met as well as providing training to field personnel regarding documentation requirements. Those in the level III role will serve as a lead, assigning daily work, ensuring timely completion of deliverables, and providing training to department personnel, and others as appropriate, regarding systems and procedures.DUTIES & RESPONSIBILITIES
Level I:
Operate scanning equipment and software to digitize construction records. Conduct quality control reviews of scanned documentation. Research and retrieve records for projects and special requests.Level II duties also include:
Gather records in the field and ensure quality assurance of construction records as required. Provide training to field personnel regarding documentation requirements.Level III duties also include:
Oversee the preparation, review, and maintenance of controlled documents to ensure compliance with regulatory standards. Collaborate with training personnel to develop and maintain training regarding proper documentation practices. Train field personnel regarding documentation standards and requirements. Serve as the team lead, assigning work and ensuring timely completion of deliverables. Provide training to department personnel regarding systems and procedures.SUPERVISORY RESPONSIBILITIES
Levels I and II The team members in this role will:- Serve as an Individual Contributors without supervisory responsibilities, supporting and contributing to team goals and objectives.
REQUIRED SKILLS & ABILITIES
Proficient with Microsoft Office Suite Strong communication skills and demonstrated ability to work collaboratively in a team environment. Analytical and problem-solving skills. Ability to thrive in a fast-paced, rapidly-changing environment. Self-motivated, ability to work with and without supervision while multi-tasking and prioritizing across a number of projects and initiatives. Highly organized with attention to detail and committed to quality. Familiarity with regulatory requirements.EDUCATION & WORK EXPERIENCE
Level I High School Diploma or GED Valid driver's license required Minimum of one (1) year of directly related industry experience. Level II High School Diploma or GED Valid driver's license required Minimum of three (3) years of directly related industry experience. Experience with gas production layout and design preferred. Experience utilizing ESRI technology, 49CFR192, API 1169, ANSIB31.8, ASME
preferred Level III High School Diploma or equivalent Valid driver's license required Minimum of seven (7) years of quality assurance experience required, including experience with quality assurance management. Experience with gas production layout and design preferredAWS, CWI, NACE LEVEL 2, ASQ ISO 9001, NDE, ASNT, API 1169
certifications preferred.PHYSICAL REQUIREMENTS
The ideal candidate must be able to complete the following physical requirements of the job with or without reasonable accommodation: Remain stationery for prolonged periods of time. Lift, adjust, or move objects up to 50 pounds. Communicate with others to accurately exchange information and ideas. Observe details at close range.WORK CONTEXT
This is a full-time non-exempt hourly position. Travel for work-related purposes, including some overnight visits to locations, Level I- up to 10% of the time. Level II
- up to 70% of the time. Level III
- up to 30% of the time.
