  • Full-time Role Provides a variety of administrative support services to the Justice Court which includes planning, directing, and coordinating the general operation of the office and the work of assigned staff.
Major Duties, Responsibilities Plans, organizes, and directs operations to support multiple court programs and services. Hires, trains, supervises, evaluates, supports, directs, and coordinates assigned support staff to ensure that court programs, service goals and objectives are met. Oversees and coordinates internal services, such as case
  • flow management, fiscal administration; technology, and electronic records management; space management; facilities, including space management, security, and maintenance; community and media relations, and public information; research and advisory services; interpreter services.
Serves as an intergovernmental liaison. Participates in local and state committees. Develops procedures to implement legislative changes. Develops and maintains complex accounting systems; provides accurate and reliable data and reports to include long and short-range financial forecasts, necessary for the management of budgets, funds, and grants. Researches, analyzes, completes grant applications and reports in accordance with grantor requirements. Monitors revenue and expenditure for compliance with funding agreements; identifies alternative funding sources; maintains financial integrity of the department's accounting system in accordance with the Administrative Office of the Courts' Minimum Accounting Standards. Compiles and analyzes data; reviews and evaluates effectiveness and efficiency of programs and services; creates reports; develops administrative procedures, and rules for approval of the Judge. Performs other job-related duties as assigned.
Minimum Qualifications Education:
Associate's Degree in Business, Public Administration, Judicial Administration or closely related field.
Experience:
A minimum of five (5) years of progressive administrative experience, to include three (3) years in a supervisory capacity. An equivalent combination of directly related work experience and education may substitute for the degree requirement on a year-per-year basis.
Additional Requirements:
Must possess a valid Arizona driver's license. Must possess Arizona Court Supervisor and Arizona Court Manager certificates from the leadership training programs at the Arizona Supreme Court.
Other Skills Required Knowledge, Skills, and Abilities:
Knowledge of:
County and Justice Court policies and procedures. Legal terminology and court procedures. Principles and practices of supervision. AJACS program or other court specific automated case management system. Business English, spelling, grammar, punctuation, and composition. Clerical office practices and procedures. Budgeting, research techniques and report writing. Current Microsoft Office software. Filing and recordkeeping.
Skill in:
Personnel supervision and management. Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees. Organization and adherence to detail.
Ability to:
Develop alternative and creative solutions to administrative and management challenges. Effectively plan, organize, and supervise the work of others and maintain workflow. Keep current with changes in the technology used by the court and ensure that staff is up to date on any changes. Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public. Keep management informed of key operating issues affecting the department. Remain current in knowledge required to perform assigned duties. Handle confidential matters and maintain discretion always. Act with courtesy, tact, and diplomacy
Work Environment:
The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.
Physical Requirements:
Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
