Job Description
Administrative Assistant-Judge Staff The Administrative Assistant - Judge Assignment is responsible for providing high-level clerical and administrative support to the Presiding and Administrative Judge and Associate Judges of the Cleveland Municipal Court - Housing Division. This position ensures efficient coordination of judicial administrative functions, supports court operations, and contributes to the Court's mission by maintaining organized, timely, and professional administrative processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION
The following duties indicate the general nature and level of work performed by the Administrative Assistant - Judge Assignment. They are not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities, and qualifications required of this position. Other duties may be required or assigned at any time. Open and prepare the office for daily operations at the start of the business day. Provide clerical and administrative support, including composing correspondence, memoranda, reports, and other documents for the Presiding, Administrative, and Associate Judges. Utilize software applications to maximize efficiency and productivity in administrative operations. Provide high-quality customer service to the public and Court staff while maintaining efficient workflow practices. Establish and maintain uniform correspondence procedures and formatting standards. Coordinate meetings, including scheduling, preparing agendas, reserving facilities, recording minutes, and distributing weekly schedules to Judges, Department Managers, and designated staff. Assist with special projects and administrative initiatives as assigned. Transcribe and manage confidential correspondence and maintain strict confidentiality of all work product and information. Prepare the Judges' quarterly session assignment schedule. Coordinate and prepare quarterly visiting judge requests to the Supreme Court of Ohio. Prepare annual Financial Disclosure Statements for Judges as required. Draft memoranda regarding Acting Presiding and Administrative Judge assignments as needed. 13.Deliver professional, courteous, and respectful service that meets or exceeds public expectations.Q UALIFICATIONS AND REQUIREMENTS
High school diploma or equivalent required. Minimum of seven (7) years of experience in an administrative or clerical role. Demonstrated proficiency in Microsoft Office applications, including Word, Excel, and Outlook. Strong written and verbal communication skills. Excellent organizational skills with the ability to prioritize and manage multiple tasks. Ability to maintain a high level of confidentiality and professionalism. Strong attention to detail and accuracy in administrative work. Ability to plan, coordinate, and manage administrative activities effectively. Ability to work independently and collaboratively in a fast-paced environment. Ability to interact professionally with Judges, staff, and the public. At-Will Employment The Administrative Assistant - Judge Assignment serves at the pleasure of the Court and is an at-will employee. This position is not part of the classified civil service system and is not represented by a bargaining unit. Qualified applicants may be required to submit to testing and provide writing samples. Proof of education and employment references will be required prior to final interview. Employment is contingent upon successful completion of a criminal background check and drug screening. A valid Ohio Driver's License is required.
