Job Description

OPEN UNTIL FILLED SUMMARY OF POSITION
Performs a variety of accurate, confidential, secretarial, and clerical duties for the office of the County Judge in accordance with department procedures and statutory regulations; acts as liaison with county departments, staff, and outside agencies; and provides professional, friendly and knowledgeable introduction to the Office of the County Judge and Commissioners.

Has frequent contact with County officials, County employees, and the general public.
ESSENTIAL DUTIES
EXAMPLES OF WORK Perform a variety of confidential administrative, secretarial and clerical duties for the County Judge and Commissioners Court; Greet and assist visitors to the County Judge's office, receive and screen phone calls, and process the incoming and outgoing mail; Provide Notary services to the public; Respond to sensitive requests for information and assistance; Independently prepare and respond to letters and general correspondence of a routine nature, Prepare newspaper ads and public notices; Prepare and maintain Calendar for all Conference and Courtrooms activities; Coordinate the County Judge and Commissioners travel arrangements and itineraries in conjunction with continuing education conferences, training seminars and legislative sessions; prepare travel expense forms and track continuing education credits to ensure required CEU hours are maintained; Act as purchasing agent in coordinating activities involved with procuring goods and services, such as furniture, equipment, and supplies for the various county departments; Prepare and organize Commissioners' Court agendas, packets and information; Prepare and present Proclamations, Resolutions, and Orders for the Commissioners Court agendas; Prepare Oaths and Statements of Officers; Assist with organizing meetings and various events with other departments, members of the public and outside agencies; Organize and maintain complex filing system; review, archive and destroy obsolete records as required by law; Research and compile data for special projects assigned by the County Judge; Operate a variety of office and computer equipment; Regular and predictable attendance is an essential function of this position; Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
General office operations and secretarial techniques; basic bookkeeping, recordkeeping, and filing techniques; standard office procedures; correct business English, spelling, and punctuation.
Skill/Ability to:
Establish and maintain effective working relationships with all county elected officials, department heads, co-workers, various vendors, and the general public; Demonstrate proficiency in both oral and written communications; Perform basic mathematical calculations with speed and accuracy; Operate standard office equipment, including copier/fax machine, typewriter, ten key calculator, and computer using standard word processing, spreadsheet, and database applications, more specifically, Windows 7; Microsoft Word, Microsoft Excel, and PowerPoint; Type accurately at a speed of at least 50 words per minute; maintain accurate records and files; And perform a high volume of work effectively without direct supervision and exercise sound independent judgment in making timely decisions.
ACCEPTABLE EXPERIENCE AND TRAINING 1.
High school graduation, or its equivalent, plus at least two (2) years of experience as a secretary or clerk, including computer experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
CERTIFICATES AND LICENSES REQUIRED
 Notary Public License;  Valid Texas Driver's License and good driving record.
