The May Firm, California's premier personal injury law firm, is seeking an Intake Specialist to join our team. As the first point of contact for potential new clients, you will play a key role in creating a positive client experience, gathering accurate case information, and ensuring a smooth intake process. This role requires strong communication skills, attention to detail, and the ability to handle sensitive information with professionalism and care.
Key Responsibilities:
Client Intake:
Serve as the primary point of contact for potential new clients via phone, email, and in person.
Case Evaluation:
Conduct intake interviews, accurately document case details, and screen potential cases according to firm guidelines.
Scheduling:
Coordinate consultations and follow-ups between clients and legal staff.
Data Entry:
Enter and maintain client information in the firm's case management system.
Phone Communication:
Respond to general inquiries and route calls or messages to the appropriate staff members.
Confidentiality:
Maintain discretion and handle sensitive client information with professionalism.
Client Support:
Provide a professional, empathetic, and supportive experience for every client interaction.
Administrative Support:
Assist with intake-related tasks including document collection, scanning, and basic filing.
Qualifications:
Experience:
1-2 years of experience in an intake, receptionist, or customer service role, preferably in a legal or professional services environment.
Communication Skills:
Excellent interpersonal and verbal communication skills to engage with clients during sensitive conversations. Attention to
Detail:
Extreme attention to detail with the ability to capture accurate information the first time.
Organizational Skills:
Strong time-management and multitasking abilities to handle a high volume of calls and inquiries.
Technical Proficiency:
Familiarity with Microsoft Office Suite and case management software is preferred.
Composure:
Performs well under pressure and stays calm in high-volume or emotional situations.
Client Service:
A friendly, empathetic, and client-focused approach to service delivery.
Team Player:
Works collaboratively with attorneys, case managers, and other staff to support firm operations.
Compensation & Benefits:
Pay:
$22.00 per hour. 401(k) plan. Health, dental, and vision insurance. Paid time off (PTO). Peer to peer reward system.
