About Ventura Law Founded in 1957, Ventura Law is an established and growing law firm dedicated to providing exceptional legal support, compassionate client service, and a collaborative team environment. Position Summary Ventura Law is seeking a detail-oriented, compassionate, and highly organized File Opener to serve as the first point of contact for new clients after they retain the firm. The File Opener is responsible for accurately setting up new client matters, gathering and verifying critical information, obtaining necessary documentation, coordinating intake and onboarding processes, and ensuring that all files are properly established for the legal team. This role plays a vital part in creating a positive client experience while ensuring the firm's cases are opened accurately, efficiently, and in compliance with firm procedures. Primary Objective of This Role Ensure all new client files are opened accurately, completely, and promptly while delivering exceptional client service and supporting a seamless transition from intake to case management. Key Responsibilities & Duties Open and establish new client files in the firm's case management system Review signed retainer agreements and supporting documentation to ensure completeness and accuracy Contact clients to gather missing information and required documents Verify client, accident, medical, insurance, and other case-related information as applicable Prepare and process new matter documentation and internal notifications Coordinate the transfer of newly retained cases to the appropriate legal team members Maintain accurate records and ensure data integrity within firm systems Monitor file opening workflows and follow up on outstanding items to prevent delays Communicate professionally and compassionately with clients throughout the onboarding process Collaborate with intake, case management, and legal staff to ensure a smooth case transition Adhere to firm policies, procedures, and confidentiality requirements Qualifications High school diploma or equivalent required 1+ years of administrative, legal support, intake, customer service, or related experience Strong attention to detail and organizational skills Excellent verbal and written communication abilities Ability to manage multiple tasks and deadlines in a fast-paced environment Proficiency with Microsoft Office and case management software Strong data entry and recordkeeping skills Ability to handle sensitive and confidential information with professionalism Bilingual (Spanish or Portuguese) is a plus Prior law firm or personal injury experience is a plus Ventura Law is proud to be an equal opportunity employer.
