Job Description

This position is responsible for managing the Attorney Referral program end-to-end and ensuring a high level of client service and program integrity. The Coordinator will gather client information via phone intake, schedule appointments, keep the attorney panel current, prepare monthly program reports, and maintain the program filing system. In addition, this role supports general office operations and assists the Executive Director with administrative tasks.
Key Responsibilities:
Conduct phone intake calls to gather detailed client information, assess needs, and determine appropriate referral pathways. Schedule appointments between clients and member attorneys, confirming details and providing follow-up as needed. Maintain and regularly update a comprehensive, accurate panel of participating attorneys, tracking specialties, availability, and contact information. Prepare, analyze, and distribute monthly reports summarizing program activity, trends, referral outcomes, and any issues requiring attention. Organize and maintain the program filing system (electronic and/or physical) so records are accessible, complete, and compliant with organizational policies. Assist with the general administration of the office, including updating the directory of attorneys and responding to routine inquiries. Contact participants and coordinate logistics for ceremonial and social events, ensuring appropriate recognition and inclusion of members. Provide ad hoc support to the Executive Director with various office tasks, such as document preparation, scheduling, and correspondence.
Skills and Attributes:
The ideal candidate demonstrates excellent verbal communication and active listening skills, strong organizational ability, attention to detail, discretion handling confidential information, proficiency with standard office software and database systems, and the capacity to prioritize multiple tasks in a busy environment. A customer-service orientation and experience working with legal professionals or referral programs are strongly preferred.

Success in this position is measured by accurate, timely referrals, well-maintained attorney panels, reliable reporting, and the smooth execution of administrative tasks that support program goals and the Executive Director's priorities.
