Job Summary:
Seidel Schroeder seeks a dedicated Administrative Associate, who is proficient in office operations and superior client service within our public accounting firm. Your duties include managing client communications, scheduling, and general administrative tasks. You'll also support client onboarding and assist senior staff with client engagements. Proficiency in administrative technologies and strong organizational skills are essential. The role demands excellent communication, attention to detail, and the ability to handle confidential information discreetly.
Duties/Responsibilities:
Provide exceptional client service to internal and external clients by swiftly addressing inquiries, scheduling appointments, and managing workflow processes. Deliver exceptional front desk service by greeting visitors, answering phones, and directing inquiries to ensure a positive first impression. Handle client communications through various mediums, ensuring high responsiveness and meticulous attention to needs. Undertake general administrative duties to ensure smooth operations, including supply management, meeting coordination, and office upkeep. Operate specialized administrative technologies, such as various software and client management systems, to enhance workflow and service delivery. Collaborate with the team for accurate and timely completion of tasks like data entry, document preparation, and file management, adhering to firm policies. Support senior staff with administrative aspects of client engagements, including preparing engagement letters, organizing files, and AR/Collections. Process client payments accurately and efficiently, ensuring proper documentation and maintaining confidentiality of financial information. Uphold strict confidentiality standards in handling sensitive client information. Engage in special projects and take on new responsibilities as needed to support the firm's objectives.
Skills/Abilities:
Conduct all activities in agreement with Seidel Schroeder core values. Strong client service orientation and excellent communication skills, both verbal and written. Proficiency in administrative technologies used in public accounting, including tax software and Microsoft Outlook. Exceptional organizational skills, with the capability to manage multiple priorities in a dynamic environment. Keen attention to detail in all administrative tasks. Ability to work both independently and as part of a team, with minimal supervision. High adaptability to changing priorities and deadlines, maintaining professionalism and discretion.
Qualifications:
Minimum of a High School Diploma, associate or bachelor's degree preferred. Experience working in a professional office is preferred but not required. Must be legally authorized to work in the United States of America Ability to work overtime during certain seasonal periods.
