Job Description
The Administrative Specialist II performs a variety of secretarial, clerical, and general office assistance duties to support activities of the assigned department. Work involves preparing and maintaining a variety of files and documents, answering telephone calls, greeting the public, and routing communications. Employee is responsible for performing general clerical duties such as preparing photocopies, processing mail, and compiling data for reports. Answers incoming calls, greets visitors and answers inquiries related to the county or specific department, and directs visitors to correct employee or department as necessary. Processes incoming and outgoing mail; routes mail to proper recipient. Utilizes computerized data entry equipment and various word processing, spreadsheet and/or file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary; establishes and maintains files. Maintains office supply inventories, ordering and distributing supplies as necessary. Regular and punctual attendance required. Process forms required by the Texas Commission on Law Enforcement Standards (TCOLE). Respond to area Law Enforcement agencies and process requests for information regarding current and former employees. Runs criminal history reports and Driver's Licenses for the background investigators. Responds to emails regarding job posting requests and assists applicants. Assist with scheduling drug tests and physicals and making badges for employees and vendors. Maintains personnel files. Compiles statistics and aids in the preparation of documentation for the Professional Standards budget. Operates and manages computer data entry equipment, software, and electronic records program. Updates computerized inventory of records. Ensures compliance with established policies, procedures, standards, and federal and local government laws for records in custody. Performs other related duties as required. High School Diploma or GED and a minimum two years of experience in a related field; or an equivalent combination of education and related experience required.
