Job Description
Administrative Support Specialist / Accreditation Manager Job description This position serves as the primary administrative support / accreditation manager for the sheriff's office. Performs independently with little guidance in the performance of their duties to include the interpretation and application of administrative and the Virginia Law Enforcement Professional Standard Commission (VLEPSC) rules and regulations. This position requires maintaining state accreditation files, assuring VLEPSC standards are included in policy and procedures for the Sheriff's Office, and keeps up to date of any revisions or standard changes within the state accreditation program. Conducts inspections related to various law enforcement operations to ensure compliance with accreditation standards. The position requires participation in a wide variety of tasks, requiring usage of management and clerical skills. To comprise administratively supporting management and staff in a fast-paced law enforcement environment. The candidates must possess solid organizational, record keeping, analytical, and communications (i.e., writing and verbal) skills and must be detailed oriented with high-level of accuracy. The candidates must possess strong relationship and customer service skills to conduct friendly communications and interfaces with public and staff. The candidates must also be able to work independently or under supervision depending upon the task. At a minimum, the individual must be experienced in using Microsoft Office products/tools (i.e., Word, Excel, PowerPoint, Publisher, and Outlook). Responsibilities and Duties Must be organized, detailed oriented, hardworking, dedicated & have good work ethics. Proficient verbal and written skills, with great phone etiquette. Solid computer, grammar and multi-tasking skills. Must be able to communicate efficiently and effectively with the public, and co-workers. Enters information into a document management system; creates files, records, and other documentation. Organizes and maintains formal record-keeping system for agency directives and disseminates updates or changes to staff. Provides guidance on department policies, procedures and training. Assists with printed materials, photographs, and other audio-visual recordings in support. Coordinates, plans, and set-ups mock assessments, assessments, and/or static displays. Interprets accreditation standards and applicable laws. Conducts inspections and audits to ensure proper procedures are followed. May serve as an accreditation assessor and perform relevant duties. Reads, research, and routes correspondence by drafting letters and documents. Meets applicable training and accreditation standards. Collects and analyzes information to assist with various office administration projects. Time management and decision-making skills. Assists with onsite or offsite events. Ability to make appropriate decisions based on established guidelines. Ability to handle confidential information. Ability to adapt to changing work priorities. Ability to use word processing, spreadsheet and computer systems software. Ability to perform duties under deadline pressures. Ability to maintain complex records, and to prepare reports from such records. Ability to bring significant items in reports, files, and correspondence to the supervisor's attention. Ability to work effectively with other employees to gather necessary documentation. Supporting management staff and preparing correspondence. Attends staff meetings and provides periodic status reports as needed. Perform any other duties designated by the management. Minimum Qualifications Considerable experience in administrative processes. Strong computer skills including word processing, e-mail, spreadsheets, database management and graphics software applications. Calendaring, answering phones, record keeping, and oral/written communication skills required. Demonstrated ability to plan, organize, manage, and perform multiple priorities in a fast-paced environment while giving special attention to detail. Demonstrated ability to establish and maintain positive working relationships with all levels of professionals, elected and appointed officials, and the general public. Position requires the ability to handle confidential information. Considerable administrative and experience involving diverse responsibilities.
Required Qualifications:
Undergraduate degree or equivalent combination of education and work experience. 3+ years of Administrative Assistant experience Intermediate experience in law enforcement and accreditation, or an equivalent combination of education and experience. Most possess valid Virgina driver's license.APPLICATION
