Responsibilities Oversee daily office operations, ensuring an efficient workflow and a professional environment for staff and clients Manage appointment scheduling, calendar coordination, and front desk duties including multi-line phone systems and greeting visitors Supervise administrative staff, providing training and development to enhance team performance and customer service excellence Handle vendor management, including negotiating contracts, processing invoices, and maintaining supply inventories Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and human resources functions Organize events such as client seminars or community outreach activities to promote the firm's services Implement filing systems, manage document retention policies, and ensure compliance with confidentiality standards Requirements Proven experience in office management or administrative roles within a legal or medical office setting Strong supervisory experience with the ability to lead and motivate a team effectively Excellent communication skills with professional phone etiquette and interpersonal abilities Proficiency in calendar management, scheduling software, QuickBooks, and basic bookkeeping practices Knowledge of human resources processes including onboarding, training, payroll, and employee relations Exceptional organizational skills with attention to detail in filing, record keeping, and office procedures Experience in event planning, vendor negotiations, budgeting, and office supply management is highly desirable Embark on a rewarding career where your organizational prowess fuels our mission to serve clients efficiently.
