We are seeking a detail-oriented and empathetic Intake Specialist to join our team and be the first point of contact for potential clients.
Job Summary:
The Intake Specialist will play a crucial role in the client intake process, ensuring that potential clients receive timely, professional, and compassionate assistance. This position requires excellent communication skills, attention to detail, and the ability to handle sensitive information with confidentiality. The Intake Specialist will gather essential information from potential clients, assess the viability of their cases, and schedule consultations with our attorneys.
Key Responsibilities:
Answer incoming calls and respond to online inquiries from potential clients. Provide a compassionate and professional initial point of contact for individuals seeking legal assistance.
Information Gathering:
Conduct thorough intake interviews to gather detailed information about potential clients' cases. Document and input client information accurately into the firm's case management system. Assess the viability of potential cases based on the information provided. Collaborate with attorneys to determine the next steps for viable cases. Schedule consultations and appointments for potential clients with the appropriate attorneys. Coordinate with clients and attorneys to ensure timely and efficient scheduling. Conduct follow-up calls and correspondence to gather additional information or documents as needed. Maintain regular communication with potential clients to keep them informed of the intake process. Assist with administrative tasks related to client intake and case management. Maintain organized and up-to-date records of all client interactions and case files. Ensure compliance with all legal and ethical standards related to client intake and confidentiality. Handle sensitive information with the utmost discretion and professionalism.
Qualifications:
High school diploma or equivalent; associate's or bachelor's degree preferred. Previous experience in a legal setting, particularly in personal injury, medical malpractice, or related fields, is highly desirable. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to handle sensitive information with confidentiality and professionalism. Proficiency in using case management software and Microsoft Office Suite. Compassionate and empathetic demeanor with the ability to build rapport with clients. Bilingual abilities are a plus.
