We help Western New York clients pursue fast, fair results with empathy, honest guidance, and efficient, technology-driven service. Who we are looking for We are seeking an experienced Senior Pre-Litigation Case Manager/Legal Assistant to independently manage personal injury files from intake through pre-litigation resolution. This is a strong fit for someone who has real plaintiff's personal injury experience, takes ownership of cases, communicates well with clients, and is interested in helping build better systems, processes and procedures. Responsibilities Serve as a primary point of contact for clients during the pre-litigation phase. Provide regular client updates regarding case status and next steps. Open, organize, and maintain personal injury case files using case management software. Request, track, and organize medical records, bills, liens, and related documents. Communicate with clients, medical providers, lienholders, insurance carriers, and referral partners. Help clients navigate the No-Fault process. Obtain and Monitor client treatment status and document case updates. Assist with preparation of demand packages, medical chronologies, and supporting materials for attorney review. Maintain accurate notes, tasks, deadlines, and case status information. Support intake, referrals, and case workflows as needed. Help create and improve templates, checklists, workflows, and repeatable processes. Use approved technology tools responsibly to improve efficiency and client service. Assist with general office support, including, but not limited to, tasks such as mail, scanning, filing, and document organization. Requirements 3+ years of plaintiff personal injury experience, including handling pre-litigation cases. Experience with medical records/bills, liens, treatment tracking, client communication, and demand preparation. Experience and comfort using legal case management software and Microsoft Office. Strong communication skills with clients, providers, insurers, and attorneys. Excellent organization skills, follow-through, and attention to detail. Ability to manage competing priorities and move cases forward without constant supervision. A practical, team-first mindset suited to a small, growing firm. Interest in creating and improving workflows, templates, checklists, and systems. Openness to using technology and approved AI tools to improve quality and efficiency. Preferred Qualifications NYS Notary Public license (or willingness to obtain such license). No-Fault familiarity. Demand letter/package drafting experience. What We Offer Compensation:

This position is a full-time, in-office position in downtown Buffalo.
