Location:
Lakewood, CO Position Overview We are seeking an experienced and highly organized Transactional Senior Practice Assistant to provide advanced administrative and legal support to multiple attorneys within a transactional legal practice. This role serves as a key resource for the legal team, supporting day-to-day operations, coordinating department processes, and ensuring the timely completion of legal and administrative tasks. The ideal candidate will have extensive experience in a law firm environment, exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced setting. Key Responsibilities Legal and Administrative Support Provide comprehensive administrative and secretarial support to two or more attorneys. Draft, format, edit, and proofread legal correspondence, memoranda, contracts, and other legal documents. Prepare documents from attorney notes, drafts, and verbal instructions. Conduct basic legal and online research as needed. Manage electronic and physical filing systems to ensure accurate recordkeeping. File legal documents with courts, governmental agencies, and other relevant entities. Handle incoming calls, relay messages, and respond to routine inquiries professionally. Calendar and Client Management Coordinate attorney calendars, appointments, meetings, and deadlines. Maintain reminder systems to ensure critical dates and obligations are met. Serve as a professional point of contact for clients, visitors, and external stakeholders. Support positive client relationships through responsive and courteous communication. Department Operations Review and assist with monthly client billing and invoice edits. Maintain and update departmental procedures and standard operating processes. Support compliance with established department workflows and best practices. Assist with special projects and advanced legal support assignments across the transactional team. Serve as a resource for legal assistants regarding department procedures and operational guidelines. Provide backup support for team members as needed to ensure seamless workflow. Qualifications Required Experience Minimum of 8 years of experience in a law firm or legal office environment. Experience supporting senior attorneys, partners, or shareholders preferred. Strong understanding of legal office procedures, document preparation, and client service. Technical Skills Proficiency in Microsoft Outlook, Word, and Excel. Experience with legal billing, case management, and document management software preferred, including platforms such as TABS, PracticeMaster, NetDocuments, or similar systems. Ability to effectively utilize internet resources and public databases for research purposes. Professional Skills Excellent written and verbal communication skills. Strong proofreading, grammar, spelling, and document-editing abilities. Exceptional attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong organizational and time-management skills. Professional interpersonal skills with the ability to work effectively with attorneys, clients, and staff at all levels. Physical Requirements Ability to remain seated or stationary for extended periods. Ability to work on a computer for prolonged durations. Ability to lift and move items weighing more than 10 pounds when necessary.
