Job Description

Position Summary Osborn Jacobs & Hartung is seeking a detail-oriented and highly organized Service Vendor Specialist to support our legal team by coordinating document services, vendor communications, court filings, and investigative support functions. This position plays a critical role in ensuring legal documents are processed accurately, deadlines are met, and service vendors operate efficiently throughout the litigation process.
Essential Duties and Responsibilities:
Legal Document Management Review legal documents for accuracy and completeness prior to service or filing. Perform document redaction in accordance with court rules, confidentiality requirements, and firm policies. Prepare, organize, and maintain electronic and physical case files. Track document status and ensure timely processing of all service-related requests. Court Filing Coordination Prepare and electronically file legal documents with state, federal, and local courts. Monitor court filing confirmations and address rejected filings as needed. Maintain filing deadlines and ensure compliance with court requirements. Vendor and Process Server Management Serve as the primary point of contact for process servers and other legal service vendors. Assign service requests and monitor completion status. Communicate with vendors regarding service updates, affidavits, invoices, and case requirements. Resolve service issues and escalate concerns when necessary. Skip Tracing and Investigations Conduct skip tracing research to locate individuals for service of process. Utilize public records, databases, and investigative resources to verify addresses and contact information. Document research findings and provide recommendations to attorneys and staff. Accounting and Financial Support Collaborate with the Accounting Department regarding vendor invoices, billing questions, and payment processing. Verify service-related expenses and ensure accurate coding and documentation. Assist with vendor account reconciliation and reporting as requested. Administrative Support Maintain detailed records of service attempts, filings, and vendor communications. Generate reports and provide status updates on active matters. Assist attorneys, paralegals, and legal staff with service-related requests and special projects. Ensure adherence to firm policies, court rules, and legal industry standards. QualificationsEducation and Experience High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous experience in a law firm, legal services company, court system, or professional services environment preferred. Experience with e-filing systems, process serving, skip tracing, or legal document management is highly desirable. Knowledge, Skills, and Abilities Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Ability to manage multiple deadlines and priorities in a fast-paced environment. Proficiency with Microsoft Office Suite and legal case management software. Knowledge of court filing procedures and legal documentation preferred. Ability to work independently while collaborating effectively with attorneys, vendors, and accounting personnel. Strong problem-solving and investigative skills.
Pay:
$20.00 - $25.00 per hour
