Job Description
Description Join a high-impact Litigation function supporting critical regulatory, investigation, and dispute matters across the region. In this role, you'll be a trusted partner to attorneys and legal professionals, enabling smooth execution of day-to-day operations in a fast-paced environment. You'll bring strong judgment, attention to detail, and a proactive mindset to anticipate needs and remove roadblocks. If you thrive on coordination, problem-solving, and collaboration across global teams, this role offers meaningful visibility and ownership. As a Legal Specialist for Litigation in the Litigation team, you will provide comprehensive administrative and operational support to approximately 60 attorneys across HR Law, Litigation, and Government Investigations and Regulatory Enforcement (GIRE). You will manage complex global calendars and meeting logistics, coordinate internal and external events, and arrange global travel while ensuring budget oversight and policy compliance. You will process invoices and expenses accurately and on time, support onboarding/offboarding and access/equipment requests, and assist with business requests and legal/regulatory projects as needed. You will also prepare and finalize materials for meetings (editing, printing, binding) and proactively flag risks, issues, or delays to keep team priorities moving efficiently. Job Responsibilities Provide comprehensive administrative assistance to the teams, including managing complex calendars, screening calls, and handling routine activities proactively. Organize and coordinate logistics for internal and external meetings and events, including scheduling, catering, transportation, and related arrangements. Arrange and manage global travel logistics (flights, accommodations, ground transportation), oversee travel budgets, obtain pre-authorizations, and process related expenses in compliance with corporate policies. Process invoices and expense claims for team members, ensuring adherence to company guidelines and timely completion. Support staff onboarding and offboarding processes, including equipment requests and system access setup. Assist team members with business requests and legal/regulatory projects as needed. Edit, print, and bind spreadsheets and presentations for client meetings and other business needs. Proactively identify and communicate potential issues or delays to ensure smooth team operations. Required Qualifications, Capabilities, and Skills Experience (including prior to a career break) in business management, executive assistant, legal analysis/operations or a related field. Expertise in complex global calendar/meeting management with full competency in Outlook. Strong analytical and research skills, with the ability to interpret complex information. Excellent written and verbal communication skills, with the ability to present information clearly and concisely. Detail-oriented with strong organizational and project management skills. A proactive "self-starter" with the ability to work independently, problem-solve and manage competing priorities. Positive, common-sense attitude with a strong desire to learn and collaborate with team members in person and across remote locations. Flexibility and adaptability to change, including technological, with the ability to pivot quickly. Preferred Qualifications, Capabilities, and Skills College degree preferred, but not required Experience in the financial services industry or a highly regulated environment. Familiarity with litigation processes and procedures. Experience with data analysis and reporting tools. Interest in and dexterity with AI tools. All candidates for roles in the Legal department must successfully complete a conflicts of interest clearance review prior to commencement of employment.
Note:
