Job Description
Description We are looking for an Office Services Associate to support day-to-day administrative operations for a client site in Boston, Massachusetts. This Contract position is ideal for someone who enjoys delivering dependable back-office support across document production, mail handling, and related office services while maintaining a high standard of customer care. The role requires someone who can stay organized in a fast-moving setting, protect sensitive information, and contribute positively to a team-focused environment.
Responsibilities:
- Manage incoming office service requests by recording work accurately and confirming all required details are complete before processing.
- Provide daily support for document reproduction, mail distribution, scanning, and intake tasks across both physical and digital workflows.
- Sequence assignments effectively to keep production moving efficiently and to ensure completed work is delivered within established service timelines.
- Communicate promptly with clients and internal leadership regarding priorities, turnaround expectations, and any issues that could affect deadlines.
- Perform basic troubleshooting on office equipment and escalate more complex problems when additional support is needed.
- Review completed work for accuracy and quality, including checking personal output and assisting with quality control for team deliverables.
- Replenish copiers and related machines with paper, toner, and other materials needed to maintain uninterrupted operations.
- Handle files, correspondence, and other business materials with discretion while following company and client policies.
- Support general office service functions as needed, which may include reception, hospitality, audio/visual assistance, and other site-based operational tasks.
- Move and lift boxes, paper, and supplies up to 50 pounds regularly as part of daily service responsibilities. Requirements
- High school diploma or equivalent is required.
- At least 1 year of experience in office services or a similar administrative support role, preferably within a legal, banking, or large corporate setting.
- Working knowledge of copy, mail, scanning, and other back-office support processes.
- Strong customer service and communication skills with the ability to build effective relationships with clients and coworkers.
- Excellent attention to detail, time management, and organizational ability in a deadline-driven environment.
- Ability to work independently, make sound routine decisions, and recognize when to escalate issues appropriately.
- Comfortable handling confidential documents and sensitive information with professionalism and care.
- Ability to work collaboratively with diverse teams in a fast-paced workplace and maintain a positive, self-directed approach.
