Full-time | Monday-Friday, 8-5 About the Opportunity An established law firm is seeking a detail-oriented Intake and Records Specialist to support its conflicts management , new client intake , and records administration functions. This newly created role offers an excellent opportunity for a professional with experience in conflict checking , legal records management , and law firm operations to join a collaborative team focused on risk management, compliance, and information governance. Key Qualifications High school diploma or equivalent Prior legal intake , conflicts analyst , or records management experience in a law firm or professional services environment Experience running and analyzing conflict reports Proficiency with Microsoft Office applications Familiarity with legal software platforms such as SurePoint Strong attention to detail and organizational skills Excellent written and verbal communication abilities Ability to maintain confidentiality and exercise sound judgment Valid driver's license and ability to travel between office locations Responsibilities Conduct comprehensive conflicts checks for new clients, new matters, lateral attorney hires, and prospective employees Run and analyze conflict reports using internal databases and external research tools Maintain accurate client and matter information within the firm's conflicts management system Perform corporate research to identify affiliated entities, subsidiaries, and ownership structures relevant to conflict analysis Assist with compliance related to the Rules of Professional Conduct , conflicts policies, and risk management procedures Collaborate with attorneys and professional staff to gather information needed for conflict resolution Prepare and communicate conflict findings and recommendations Support lateral attorney onboarding, client file transfers, and ethical compliance requirements Maintain records of conflict determinations, waivers, clearances, and ethical screens Respond to requests for file retrieval, transfers, and document copies Assist with records retention , file archiving, and secure destruction procedures Monitor retention schedules and coordinate disposition reviews Support compliance with document retention , data privacy , and information security policies Organize, scan, file, and maintain both electronic and physical records Ensure records are maintained in accordance with firm policies and regulatory requirements Advance Your Career Apply today to leverage your conflicts analysis , legal intake , and records management expertise with a respected law firm committed to professional growth and operational excellence.
