Job Description:
Our client is seeking a Practice Team Assistant to provide comprehensive administrative and operational support to a legal support team. This role supports attorneys and legal staff by managing daily administrative workflows, coordinating communications, and ensuring smooth office operations within a fast-paced professional services environment. This is a highly collaborative role supporting multiple legal support professionals and timekeepers while maintaining accuracy, discretion, and strong attention to detail.
Key Responsibilities:
Provide administrative support to attorneys, legal assistants, and practice team members Manage incoming communications, including phone coverage and interoffice mail distribution Coordinate scheduling support such as meetings, travel arrangements, and transportation needs Assist with document preparation, proofreading, formatting, and revisions for accuracy and completeness Support expense reporting, reimbursements, and administrative tracking processes Maintain electronic and physical file organization, including document management system updates Assist with client-facing logistics such as meeting coordination and visitor support Process confidential materials with a high level of discretion and professionalism Support time entry, CRM updates, and internal administrative systems as needed Assist with overflow administrative work, special projects, and team support tasks
Qualifications:
3-4+ years of general office or administrative experience Experience in a law firm or professional services environment strongly preferred Strong proficiency in Microsoft Office Suite and ability to learn firm systems (iManage experience preferred; DocuSign a plus) Highly organized with ability to manage multiple priorities in a fast-paced environment Strong written communication, proofreading, and attention to detail skills Ability to work independently while contributing to a team environment Demonstrates professionalism, discretion, initiative, and strong customer service mindset Bachelor's degree preferred
Additional Details:
Start date target: May 18 Interview process includes two in-person rounds with legal support leadership and team members Candidate will support a team of 6 (direct hire expansion role due to internal promotion) Must be open to onsite collaboration and team engagement
