Job Description

A Burlingame-based law firm is seeking a highly organized and detail-oriented administrative professional with at least one year of law firm experience and strong document management and file administration skills to join the firm on a contract-to-hire basis. Supporting a team of primarily remote paralegals, this position requires someone who is comfortable working independently onsite, managing recurring processes with minimal supervision, and maintaining consistency across high-volume document and file management responsibilities. This is an excellent opportunity for someone looking to build a long-term career in legal administration within a stable, process-oriented law firm environment.

Key ResponsibilitiesManage daily document flow, including scanning, organizing, and filing incoming mail and client documentsMaintain physical and electronic client files, including file creation, organization, and ongoing file maintenancePrepare and process outgoing correspondence and document transmittalsFinalize documents for signature, ensuring accuracy and completenessTrack certified mail receipts and delivery confirmationsAssemble exhibits and supporting documentation for legal filings, tax returns, and petitionsCoordinate administrative filings, including lodging wills and recording deedsPrepare proofs of service and assist with post-recording document processingSupport file audits, document organization, and records management projectsProvide administrative support to a team of five paralegals, the majority of whom work remotely
