Job Description

Bohm Wildish & Matsen, LLP has an opening in its Costa Mesa office for a Legal Assistant in the Estate Planning/Trust Administration Department. Applicants must have prior work experience in a law firm as well as familiarity with estate planning matters. We seek individuals with a polished demeanor and excellent interpersonal skills to ensure our clients feel valued and supported. We are looking for candidates who are proactive and can effectively work as a member of a team. This is an in-office position.
Qualifications:
The successful candidate must possess comprehensive knowledge of legal office procedures. We are looking for someone with a great work ethic, a high-level of attention to detail and accuracy as well as excellent organizational skills and time management to handle billable and administrative duties. Applicants must also demonstrate a professional demeanor, strong interpersonal, verbal and written communication skills, computer literacy and be trustworthy, punctual and reliable. Duties include, but are not limited to, preparation and finalizing various types of correspondence, legal service agreements & deeds. Keep track of client matters via Clio as well as track timeline from opening of file to execution of documents and delivery to clients; follow up with clients to get all asset information; coordinate signing meetings with clients & attorneys; prepare binders for clients post-signing and arrange for pickup or delivery. Maintain various spreadsheets for consultations and status of signed legal service agreements and report to Attorneys. Excellent proofreading, punctuation & grammar for accuracy is integral. Candidate must have knowledge of copying, scanning, and other general office procedures. Strong phone etiquette and follow through skills are required. Other duties and administrative projects as assigned. Candidates must have advanced knowledge of MS Office Suite (Outlook, Word and Excel) as well as Adobe Acrobat. Knowledge of Clio Management and TABS billing software programs program a plus. Candidates must be able to prioritize work to meet deadlines and enter billable time in a manner relevant to client for work performed. In this role, the employee will sit for long periods of time, walk , use hands regularly (reach, grab), lift/move boxes and will also bend and crouch often.

Other Supplemental Benefit Options Compensation:
