Non-Exempt Position Summary The Legal Assistant/Legal Secretary provides administrative and clerical support to the attorneys and staff of the Law Office of Willoughby & Associates. This position is responsible for assisting with the efficient management of client matters through the preparation of routine legal documents and correspondence, maintenance of case files and calendars, client communication, and the administration of office procedures. The Legal Assistant is expected to utilize firm policies, procedures, and case management software to support the litigation process while maintaining professionalism, confidentiality, and accuracy. All substantive legal work is performed under the supervision and direction of an attorney. Essential Duties and Responsibilities The essential functions of the position include, but are not limited to: Answer and direct telephone calls and greet clients, visitors, and vendors in a professional and courteous manner. Communicate with clients, courts, opposing counsel, medical providers, and other third parties regarding routine administrative matters. Utilize firm-approved software and templates to prepare routine correspondence, forms, pleadings, discovery documents, and other legal documents for attorney review. Assist clients with gathering information and completing responses to basic civil discovery under attorney supervision. Maintain attorney calendars, including court appearances, hearings, depositions, deadlines, appointments, and other important dates. Receive, review, scan, index, and electronically file incoming mail, pleadings, and correspondence into the firm's document management and case management systems. Prepare outgoing mail and service documents and ensure timely filing and service of legal documents. Maintain physical and electronic client files in an organized and confidential manner. Update and maintain case information within the firm's case management software. Record time entries and document work activities as required by firm policy. Operate standard office equipment, including computers, scanners, copiers, printers, and telephone systems. Assist attorneys and staff with general administrative and litigation support as needed. Maintain confidentiality of all client information and comply with applicable ethical and legal obligations. Knowledge, Skills, and Abilities Strong organizational and time management skills. Excellent verbal and written communication abilities. Proficiency with Microsoft Office Suite and common legal case management software. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Attention to detail and commitment to accuracy. Ability to work independently while following established procedures and attorney direction. Ability to maintain professionalism and discretion when handling confidential information. Physical Requirements The employee must be able to perform the essential functions of the position with or without reasonable accommodation. Duties may require prolonged periods of sitting, standing, walking, bending, lifting files or office supplies weighing up to 20 pounds, and extensive use of computers and standard office equipment.
