The Profile:
A Take-Charge, Proactive Self-Starter This isn't a role for someone who waits to be told what to do. We are seeking a high-energy, exceptionally organized self-starter who naturally takes ownership of their environment. You are someone who anticipates needs, spots what needs to be done, and executes flawlessly with an absolute dedication to administrative excellence. As the operational backbone of our firm, you will act as a true partner to our attorneys. You will be managing client relationships, scheduling, billing, file systems, and e-filing with unwavering precision and discretion. Key Responsibilities
  • Take-Charge Matter Management | Independently establish, organize, and maintain both digital and physical client files; proactively streamline large volumes of case documentation.
  • Proactive Calendar & Clerical Ownership | Own the master legal calendar, anticipate scheduling conflicts before they arise, and manage the daily flow of administrative tasks.
  • High-Touch Client Relations | Serve as the polished, welcoming, and reassuring primary point of contact for clients, opposing counsel, and court offices.
  • Document Precision & Drafting | Assist with drafting initial legal documents and correspondence; flawlessly format documents and master complex edits using track changes.
  • Financial Administration | Independently manage, prepare, and distribute monthly client billing cycles.
  • Small-Firm Synergy | Dive in wherever needed to solve problems, optimize daily office operations, and support the team. Qualifications & Core Competencies
  • The Right Mindset | A driven professional with an innate "take-charge" attitude and a genuine affinity for the fast-paced, collaborative nature of a small law firm.
  • Proven Experience | At least 2 years of related administrative experience within a law firm or a fast-paced professional office environment.
  • Technical & Editing Precision |
  • Advanced proficiency in the Microsoft Office Suite (Word, Outlook, Excel), with extensive experience utilizing Track Changes.
  • Expertise in compiling, structuring, and manipulating large volumes of documentation via Adobe Acrobat or similar PDF tools.
  • Optional if you are proficient in CLIO and Dropbox, it is a big plus!
  • Flawless Communication | Exceptional grammatical, written, and verbal communication skills.
  • Absolute Discretion | A proven track record of handling highly sensitive, confidential legal matters with total integrity.
  • Credentials | Notary Public commission is a major plus (if not already commissioned, Sherrard Law Group will fully cover the cost). Compensation & Firm Benefits
