Job Description

Legal Assistant / Administrative Assistant Honolulu, Hawaii | Full-Time | In-Person Position Summary Full-time Legal Assistant to provide administrative support to our attorneys and legal staff needed for busy boutique law firm. The ideal candidate is organized, detail-oriented, dependable, and able to provide professional customer service in a fast-paced office environment. This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities while maintaining confidentiality. Essential Duties and Responsibilities Greet clients and visitors in a courteous and professional manner. Answer and direct a high volume of incoming telephone calls. Schedule appointments and maintain attorney calendars. Prepare client files and meeting materials prior to appointments. Assist attorneys and paralegals with administrative and legal support. Prepare, assemble, organize, proofread, and scan legal documents. Maintain electronic and physical client files. Prepare correspondence, labels, and routine office documents. Process incoming and outgoing mail. Contact clients regarding appointments, document requests, and other administrative matters. Maintain accurate records of client communications. Coordinate document signings, notarizations, and witness appointments. Maintain an organized reception area, conference rooms, and office workspaces. Maintain strict confidentiality of all client and firm information. Perform other administrative duties as assigned. Minimum Qualifications High school diploma or equivalent. Minimum one year of professional office, administrative, or customer service experience. Excellent written and verbal communication skills. Strong organizational and time management skills. Exceptional attention to detail and accuracy. Ability to prioritize multiple assignments and meet deadlines. Professional telephone etiquette and customer service skills. Ability to work independently and as part of a team. Ability to maintain confidentiality. Proficiency in Microsoft Word, Outlook, and other standard office software. Typing speed of at least 60 words per minute. Preferred Qualifications Previous legal office experience. Experience in estate planning, probate, trust administration, or related legal fields. Experience working in a professional office environment. Desired Professional Qualities The successful candidate will demonstrate: Reliability and punctuality.
