Job Description
Description We are looking for an experienced Legal Administrative Assistant to support daily front-desk and office operations. This possible contract-to-permanent opportunity is ideal for someone who brings strong administrative judgment, a detail-oriented approach, and a customer-focused mindset to a fast-paced office setting. The person in this role will help maintain smooth communication, accurate records, and efficient administrative workflows while serving as a dependable point of contact for visitors and callers.
Responsibilities:
- Welcome visitors and manage front-desk activity, ensuring an organized and detail-oriented experience for guests and staff.
- Handle incoming calls, route messages to the appropriate team members, and respond to routine inquiries with courtesy and accuracy.
- Perform a range of administrative support tasks, including document preparation, filing, and general office coordination.
- Enter and update information in internal records and databases with a high level of accuracy and attention to detail.
- Sort, distribute, and process incoming and outgoing mail to keep correspondence moving efficiently through the office.
- Monitor inventory of office materials and place supply orders to maintain day-to-day operational readiness.
- Provide receptionist support by coordinating basic office communications and assisting with scheduling or coverage needs as required.
- Support overall administrative office functions by helping keep shared spaces, records, and routine processes well organized. Requirements
- Previous experience in an administrative assistant, receptionist, or similar office support role.
- Strong ability to manage inbound phone calls professionally and communicate clearly with internal and external contacts.
- Working knowledge of general administrative office procedures and standard clerical practices.
- Accurate data entry skills with close attention to detail and consistency.
- Experience handling mail distribution, mail processing, and related office support activities.
- Ability to prioritize multiple tasks, stay organized, and work effectively in a busy office environment.
- Proficiency with common office software and basic business communication tools.
